Role Context: The Contract Administrator will support the structured administration of contracts across airport, infrastructure, and airfield project packages. Working closely with Commercial, Cost, Contracts, Planning, Engineering, Construction, Procurement, Project Controls, contractors, consultants, and client representatives, the role will help ensure that contractual obligations, notices, submissions, variations, claims, and approvals are properly recorded and followed through. Accurate administration will be essential for protecting contractual rights, reducing commercial exposure, and maintaining reliable records for project delivery and final account purposes.
Key Responsibilities
- Support administration of project contracts in accordance with approved contractual requirements and procedures.
- Maintain current and auditable contract registers, data sheets, trackers, and supporting records.
- Monitor contractual obligations, deliverables, notices, approvals, submission requirements, and response periods.
- Prepare draft contractual correspondence and notices for review by senior Contracts or Commercial personnel.
- Issue and track approved contractual communications in accordance with project procedures.
- Maintain complete records of correspondence exchanged with clients, contractors, consultants, and other stakeholders.
- Monitor contractual deadlines and escalate approaching or overdue actions.
- Track key dates including notice periods, submission deadlines, approval periods, payment milestones, guarantees, insurance requirements, and contractual deliverables.
- Support administration of Client and Contractor variations and Change Orders.
- Maintain the Variation and Change Register with accurate status, references, dates, values, and approvals.
- Track Change Requests, Variation Orders, Change Proposals, commercial evaluations, and client decisions.
- Coordinate with Cost Engineers and Commercial Managers to ensure financial effects of changes are captured accurately.
- Maintain complete supporting documentation for each variation or change event.
- Ensure approved changes are incorporated into the relevant contract records and registers.
- Support preparation, administration, and tracking of contractual claims.
- Maintain Claims Registers and associated supporting evidence.
- Track events that may create contractual entitlement and ensure required documentation is retained.
- Coordinate with Planning teams regarding delay events, programme information, and Extension of Time submissions.
- Maintain records of delay notices, instructions, RFIs, approvals, responses, and related correspondence.
- Support preparation of claim narratives, chronology, and supporting documentation.
- Monitor Client responses to claims and EOT submissions and elevate outstanding actions.
- Coordinate regularly with Commercial and Cost teams on contractual and financial matters.
- Support preparation of commercial reports, contract dashboards, and management summaries.
- Ensure contractual changes and commitments are reflected in commercial and cost records.
- Assist with reconciliation between contract registers, variations, claims, commitments, and cost reports.
- Identify contractual matters that could affect project cost, schedule, risk, or commercial position.
- Support maintenance of accurate records required for final account preparation.
- Monitor Contractor compliance with contractual obligations, notices, submissions, approvals, and response requirements.
- Maintain contractor correspondence registers and submission trackers.
- Support administration of subcontractor contractual issues where required.
- Track contractor variations, claims, performance obligations, and unresolved contractual matters.
- Escalate overdue contractor actions and missing contractual submissions.
- Prepare weekly and monthly contract administration status reports.
- Maintain Contract, Correspondence, Variation, Claims, EOT, Notice, Instruction, and Approval Registers.
- Provide management with clear updates on outstanding contractual issues and required decisions.
- Identify overdue approvals, delayed responses, and potential contractual risks.
- Support commercial and contract coordination meetings and prepare minutes, action logs, and follow-up trackers.
- Review contract documentation and highlight obligations, risks, notice requirements, and commercial implications.
- Maintain an organized document filing structure with clear traceability of contractual records.
- Coordinate with Document Control teams to ensure correspondence and contractual documentation are properly registered and archived.
- Support internal, client, consultant, and project audits by providing accurate contract records.
- Assist in tracking bonds, guarantees, insurances, and other contractual securities.
- Support project closeout by ensuring contract records, variations, claims, approvals, and outstanding actions are reconciled.
Ideal Profile
- Bachelor 's degree in Engineering, Quantity Surveying, Construction Management, Business Administration, Law, or a related discipline.
- Saudi National eligible for the position.
- Minimum 5 years of relevant contract administration experience within construction, infrastructure, engineering, or project management environments.
- Previous exposure to airport, transportation, infrastructure, or large-scale development projects is preferred.
- Good understanding of construction contracts and practical contract administration processes.
- Experience handling notices, correspondence, variations, claims, EOT submissions, approvals, and contractual records.
- Familiarity with FIDIC or other recognized construction contract forms is preferred.
- Working knowledge of commercial management, project controls, cost management, and change processes.
- Strong ability to maintain structured, auditable, and traceable contractual documentation.
- Good analytical skills for identifying contractual obligations, deadlines, and potential risks.
- Strong organizational capability for managing multiple registers, submissions, and outstanding actions.
- Effective written communication for drafting contractual correspondence and notices.
- Confident coordination skills for working with clients, contractors, consultants, and multidisciplinary project teams.
- Ability to work accurately under demanding deadlines and changing project priorities.
- Strong attention to detail, particularly regarding contractual dates, references, approvals, and supporting evidence.
