The Team Coordinator - Administration will provide practical administrative and coordination support to assigned teams by gathering data, preparing reports, maintaining records, tracking time and attendance information, supporting office logistics, and handling routine communication. The position helps keep unit operations organized, documents accurate, internal reporting timely, and employee‑related records properly maintained. By supporting supervisors, project teams, and administrative workflows, this role contributes to smoother daily operations and better coordination across the workplace.
Key Responsibilities
- Gather statistics, general data, and operational information required for recurring reports and internal unit updates.
- Review, combine, and organize collected information into established report formats for use within and outside the assigned unit.
- Distribute reports as directed by the immediate supervisor and ensure information is shared accurately and on time.
- Review time reports to verify accuracy of hours worked, project numbers, WBS charges, and related timekeeping entries.
- Follow up on time report corrections and support timely processing of adjustments when discrepancies are identified.
- Maintain employee directory information and related data for employees assigned to the unit.
- Update and organize employee resumes, administrative records, contact details, and team‑related information as required.
- Track Paid Time Off hours charged and maintain a schedule of future planned leave for assigned team members.
- Prepare routine correspondence, administrative reports, and unit‑level documents that do not require direct supervisor preparation.
- Answer telephone calls, take messages, relay information, and support professional communication across the office.
- Receive, sort, and distribute mail, documents, and other incoming office materials.
- Maintain basic equipment records when required, including service date logs and requests for maintenance or support.
- Collect basic data needed for overhead budget preparation and assist with recurring budget‑related reports.
- Prepare preliminary reconciliations or supporting summaries when requested by the supervisor.
- Coordinate physical space requirements for the assigned unit and help organize office seating, equipment, and workspace needs.
- Initiate requests for PCs, telephones, and related office resources while keeping directory information updated.
- Support tracking of performance appraisal timelines and assist with documents related to personnel actions.
- Prepare occupancy reports, staffing reports, or project‑based personnel information as directed by the supervisor.
- Review operating practices and suggest practical improvements that can increase administrative efficiency.
- Maintain a fast, accurate, and organized approach to daily administrative tasks in a busy office environment.
- Perform additional administrative and coordination duties associated with the position as required.
Ideal Profile
- Bachelor's degree or diploma in any field.
- Minimum 1 year of relevant administrative, coordination, office support, reporting, or team support experience.
- Saudi National candidate with strong interest in developing administrative and coordination skills within a professional project environment.
- Good proficiency in Microsoft Office, especially Word, PowerPoint, and Excel.
- Ability to prepare reports, update records, manage trackers, organize data, and maintain accurate administrative files.
- Detail‑oriented approach with the ability to check time reports, employee data, schedules, and routine documentation carefully.
- Comfortable working in a fast‑paced office environment with multiple requests, changing priorities, and time‑sensitive tasks.
- Good oral and written communication skills for correspondence, telephone handling, internal coordination, and stakeholder follow‑up.
