This Saudi National opportunity will lead the project document control and information management function, establishing reliable systems for controlling, distributing, tracking, reviewing, archiving, and retrieving project information throughout the project lifecycle. The role requires extensive coordination across Engineering, Procurement, Construction, Quality, HSE, Commercial, Planning, Commissioning, contractors, consultants, clients, and digital delivery teams.

What You 'll Be Doing
- Lead and manage the project Document Control function and associated information management activities.
- Establish, implement, and maintain the Project Document Control Procedure and supporting workflows.
- Develop and administer the project Document Management System and associated registers.
- Ensure project documents are correctly registered, classified, controlled, distributed, retained, and archived.
- Manage document numbering, naming conventions, revision control, status codes, and metadata requirements.
- Establish and maintain Document Control, Drawing, Transmittal, Submittal, RFI, and Technical Query registers.
- Process incoming and outgoing project documentation accurately and within required timelines.
- Manage document workflows involving the Client, Consultant, Contractor, design teams, and Project Management.
- Check documentation for completeness, formatting, numbering, revision status, and required metadata before formal submission.
- Control document distribution so approved information reaches authorized recipients and relevant project stakeholders.
- Maintain effective control of approved, superseded, obsolete, and as-built documentation.
- Ensure superseded information is identified, withdrawn from active use, and appropriately archived.
Technical Submittals and Review Workflows
Manage the submission and review process for drawings, specifications, calculations, reports, method statements, material submittals, Inspection and Test Plans, RFIs, technical submissions, and other controlled project records.
Track review cycles and ensure comments, responses, approvals, and document status changes are properly recorded.
Monitor overdue submissions, reviews, approvals, and responses, escalating delays to the appropriate project teams when necessary.
Maintain accurate status information covering Submitted, Under Review, Approved, Approved with Comments, Rejected, Superseded, and As-Built documentation.
Multidisciplinary Document Coordination
- Coordinate with Engineering, Construction, Quality, Planning, Commercial, Procurement, and Commissioning teams to maintain timely document submissions.
- Manage formal transmittals and maintain complete records of project information exchanges.
- Coordinate electronic and hard-copy document distribution where required.
- Maintain accessible and traceable archives for long-term project record retention.
- Ensure document control processes comply with contractual, client, project, and information management requirements.
- Support project Information Management and Document Management standards.
- Coordinate controlled correspondence, including RFIs, Technical Queries, Site Instructions, and Design Changes.
- Ensure correspondence is correctly logged, referenced, distributed, and archived.
- Work with Commercial and Contracts teams on documentation supporting claims, variations, notices, and contractual correspondence.
- Support Planning and Project Controls teams with documentation required for progress reporting and project records.
BIM, CDE and Digital Information Management
Coordinate with BIM and Digital Engineering teams regarding model and information exchange requirements.
Support the controlled management of BIM models, drawings, technical data, and other digital project information where applicable.
Maintain document control requirements associated with BIM and Common Data Environment workflows and support digital document management and workflow automation initiatives.
Systems may include Aconex, ProjectWise, SharePoint, EDMS, and CDE platforms.
Reporting, Audits and Compliance
- Maintain a comprehensive and current Master Document Register.
- Monitor document control performance and prepare regular status reports.
- Develop dashboards and KPIs covering submissions, approvals, overdue documents, turnaround times, and outstanding actions.
- Conduct periodic audits of document control systems and project records.
- Support internal, client, consultant, and third-party audits by providing accurate and traceable documentation.
- Ensure project records remain complete and suitable for contractual and legal purposes.
- Identify process gaps and implement improvements that strengthen document accuracy, traceability, and workflow efficiency.
Handover and Project Closeout
Manage document control requirements for commissioning, handover, and project closeout.
Coordinate the submission and tracking of final as-built drawings, operation and maintenance manuals, test reports, warranties, certificates, and handover dossiers.
Establish document closeout requirements and monitor completion of required project records before final handover.
Team Leadership
- Train and guide Document Controllers and project personnel on procedures and document management systems.
- Allocate workloads across the Document Control team and monitor performance.
- Review document control deliverables before formal issuance where required.
- Establish consistent document control practices across contractors, consultants, and individual project packages.
- Mentor team members and promote consistent application of project information management requirements.
What Required Skills You 'll Bring
- Bachelor 's degree or diploma in Business Administration, Information Management, Engineering, Construction Management, or a related discipline.
- 8 years of relevant experience in document control, information management, or project administration.
- Proven experience leading document control activities on major airport, infrastructure, construction, engineering, or large-scale development projects.
- Experience working with multidisciplinary project teams, contractors, consultants, and clients.
- Experience managing large volumes of technical and project documentation.
- Strong understanding of document control procedures, workflows, revision management, and document traceability.
