About This Role:

We’re seeking a highly organized and detail-oriented Supply Chain Operations Specialist to assist one of our growing eCommerce clients. This role is ideal for someone who enjoys working with numbers, optimizing workflows, and ensuring everything operates smoothly behind the scenes. You’ll handle purchase orders, vendor communications, and inventory management while also creating reports and refining SOPs to improve efficiency in daily operations. This position demands someone proactive, data-driven, and comfortable managing multiple tasks in a fast-paced environment.

Key Responsibilities:
  • Inventory & Production Planning
    • Update inventory models with financial projection data and recommend adjustments based on trends.
    • Pull inventory data from multiple systems and maintain accurate tracking.
    • Create and update PO plans based on depletion forecasts and identify optimization opportunities.
    • Monitor stock levels, flag potential stockouts, and propose preventive strategies.
    • Maintain and continuously improve inventory dashboards for greater visibility.
  • Vendor & Financial Operations
    • Cross-check vendor invoices against purchase orders for accuracy.
    • Track payment terms across suppliers and ensure timely follow-ups.
    • Identify and escalate billing discrepancies with recommendations.
    • Issue purchase orders and coordinate with suppliers and 3PL partners.
    • Arrange freight and logistics with freight forwarders.
  • Documentation & Process Management
    • Create, document, and refine SOPs for key operational workflows.
    • Maintain and regularly update the SOP library.
    • Proactively identify areas for operational and process improvement.
  • Operational Reporting
    • Develop and maintain dashboards for fulfillment costs, shipping rates, and vendor spend.
    • Consolidate data from eCommerce, fulfillment, and accounting platforms.
    • Generate recurring reports with insights to support strategic decision-making.
Software/Platforms/Tools:
  • eCommerce: Shopify, Amazon Seller Central
  • Project Management: Asana, Notion, Monday.com, ClickUp
  • Spreadsheets & Dashboards: Google Sheets, Excel, Airtable
  • Communication: Slack, Zoom, Google Workspace
  • Reporting & Data: Google Data Studio, Looker Studio
  • Inventory & Logistics: 3PL Platforms, Inventory Planner, ShipStation
  • Accounting: QuickBooks, Xero, or similar
Qualifications:
  • At least 3-5 years of freelancing experience
  • Excellent written and verbal English communication skills. (C1/C2 level)
  • 3+ years of experience in eCommerce operations, supply chain, or logistics.
  • Strong analytical and data management skills using Google Sheets or Excel (pivot tables, formulas, data analysis).
  • Experience working with Shopify or other eCommerce platforms.
  • Strong attention to detail, particularly with financial data and reports.
  • Highly organized, proactive, and capable of managing multiple priorities.
  • Experience creating SOPs or improving existing workflows.
Nice to Have:
  • Experience with inventory planning tools (e.g., Prediko, Inventory Planner).
  • Familiarity with 3PL operations and fulfillment.
  • Experience in bookkeeping or invoice reconciliation.
  • Experience using APIs or automation tools for process integration.
  • Background in demand forecasting or operational analytics.
Shift Schedule:
  • Monday to Friday, 9:00 AM – 5:00 PM US Pacific Time (US PST)
