The Role
The primary responsibility of the Transport Project Coordinator is to provide support to all members of the Transportation team. As a central member of the Transportation team, you will support the project cadence and Functional Area integration, and collaborate with On Location leaders, internal and external stakeholders across the organization.
Responsibilities
- Team Support: Support the Transportation team in operational planning, readiness and operations to support, harmonize, enhance and track all documentation, deliverables and reporting.
- Project Planning and Coordination, Monitoring and Reporting: Help with comprehensive project planning, including timelines, milestones, and deliverables; monitor progress and adjust plans to meet evolving requirements.
- Project Governance and Cadence: Maintain project documentation (meeting minutes, logs, status reports); assist in preparing governance materials for senior management.
- Documentation Management: Maintain organized project files and records (AirTable) and assist in preparing status reports for stakeholders.
- Cross-business Collaboration: Accelerate alignment across teams, define and drive better processes to improve efficiency.
- Stakeholder Management: Liaise with internal teams and stakeholders to gather requirements and provide updates.
- Continuous Improvement: Support process improvements and best practices to enhance efficiency and outcomes.
- Risk Assessment and Mitigation: Identify, log and manage potential risks and issues; assist in developing mitigation strategies.
Qualifications
- Bachelor's degree in Project Management, Hospitality, Business Administration, Event Management, or related field. PMP, CAPM, or similar certification is a plus.
- Proficiency in Excel and PowerPoint; strong knowledge of the Microsoft Office suite.
- Familiarity with project management tools; experience with AirTable is a plus.
- Previous experience in international events or major sporting events with knowledge of transport challenges is highly considered.
- Strong organizational and multitasking skills in a fast-paced, deadline-driven environment.
- Pragmatic with attention to detail and ability to catch errors before they impact the final product.
- Excellent communication and interpersonal skills to interact with all project stakeholders and present information clearly.
- Active listening, flexibility and adaptability to drive results.
- Commitment to self-development and improving methods for achieving goals.
- Flexibility to work extended hours and weekends during peak project phases.
- Fluency in Italian and English (oral and written) required.
