The Repairs Planner is responsible for scheduling and coordinating repairs and maintenance works to ensure efficient use of operatives' time, prompt service delivery, and high levels of customer satisfaction. The role involves managing incoming repair requests, prioritizing workloads, allocating appointments, and liaising with residents, contractors, and internal teams to ensure repairs are completed within agreed timescales.
Plan and schedule repairs, maintenance, and void works to ensure operatives are fully utilized and jobs are completed on time.
Allocate jobs to the appropriate trade operatives based on location, skills, and availability.
Monitor progress of work orders to ensure completion within target response times.
Communicate effectively with tenants, operatives, supervisors, and subcontractors to provide updates, resolve queries, and manage expectations.
Maintain accurate records of appointments, completed works, and follow-up actions using the housing management or scheduling system (e.g., DRS, OptiTime, Northgate, etc.).
Respond promptly to emergency or urgent repair requests, reprioritising schedules as required.
Support performance monitoring by providing accurate data and reports on job completion, no-access rates, and productivity.
Contribute to continuous improvement by identifying process inefficiencies and suggesting solutions to improve service delivery.
Ensure compliance with health and safety procedures and organisational policies.
