Royal National Orthopaedic Hospital are seeking a Workforce Information and Systems Manager to join the Workforce and Organisational Development team based in Stanmore, Middlesex. The post will be covering maternity leave.

Job Purpose

The post holder will have specific responsibility for a range of information systems that enable the provision of workforce information to managers and staff including provision of self-service access to managers and staff on ESR.

This will involve the provision of high quality workforce information and planning function which will involve working with multidisciplinary stakeholders and also the triangulation of a range of data sources.

The post holder will have overall responsibility for managing the Workforce Information function and the production of timely high quality workforce and planning information to support strategic HR decision making and effective performance management across the Trust.

The post holder will be the Registration Authority Manager (RAM) and Privacy Officer for the Trust, leading on all initiatives in regard to the Registration Authority (RA) and User Identity Management (UIM).

  • Ensure the provision of a suite of workforce information reports that include meaningful trends and analysis to divisions and directorates and HR colleagues to support the management and deployment of the permanent and temporary workforce.
  • Formulate the Trust’s annual level workforce plan ensuring the deliverables meet the requirements of the regulatory body. Annual workforce plans must be consistent with financial and activity strategies.
  • Ensure the timely provision of all workforce returns to external bodies such as NHSi, the Department of Health and Health Education England (HEE).
  • Ensure that workforce monitoring reports are accurate and informative, accompanied by adequate explanation and presented in a manner which is easily understandable for the target audience and related to organisational needs.
  • Work with the performance team to ensure consistency of data reported.
  • Develop and maintain a range of comparative workforce data to inform the key performance indicators and support performance monitoring, working with managers and HR colleagues to ensure workforce information is accurate and relevant to service and organisational needs.
  • Benchmark key workforce indicators for the Trust against external organisations, locally, regionally or nationally, utilising valid sources of data enable to benchmark its performance against other organisations; contribute to benchmarking exercises as requested.
  • Ensure that annual, monthly and quarterly Workforce Key Performance Indicator Reports are produced in a timely and accurate manner. Liaise with Divisions, Finance and Information to identify, interpret and communicate the relationship between activity, workforce trends and bank & agency usage.
  • Manage the production of responses to workforce information requests from internal and external sources including both ad hoc and routine requests from a range of organisations including NHSi, Department of Health, HEE, Professional Associations and Freedom of Information requests.
  • Ensure periodic systems and data audits are carried out in accordance with requirements.
  • Regularly audit workforce information and contribute to surveys and research to inform both local and national picture e.g. NHSLA, AUKUH, HEE and DH planning.
  • Design and develop best methods for analysis and interpretation of information.
  • Ensure excellent and consistent data quality and data governance, acting as the expert for the directorate on data protection and FOI Act and provision of appropriate information and security.
