Job description

Proclinical is seeking a Senior Specialist in Benefit Operations to join a dynamic team in Chester. This role focuses on the execution and administration of benefits and retirement programs, including health, welfare, savings plans, and wellness initiatives. You will play a key role in ensuring efficient operations and delivering a positive customer experience.

Responsibilities:
  • Oversee the end-to-end operation of benefits programs for assigned markets, ensuring efficiency and a positive customer experience.
  • Interpret and communicate benefit plan provisions, policies, and processes, serving as an escalation point for Tier 2 benefits inquiries.
  • Document processes and activities, updating local work instructions, training materials, and knowledge articles.
  • Implement new benefits, design process changes, and drive process improvement initiatives.
  • Manage day-to-day activities related to benefit plan eligibility, enrollments, status changes, terminations, and claims.
  • Liaise with system providers, brokers, and vendors, action monthly changes, and reconcile system-generated reports.
  • Administer invoicing and payment processes, including raising POs, validating invoices, and tracking payments.
  • Manage enrollment windows in partnership with benefits system providers and maintain annual activity calendars.
  • Research and resolve issues related to benefit programs raised by employees, HR, and third-party vendors.
  • Review and update system-generated correspondence, vendor websites, and HR portal content to ensure accuracy and relevance.
  • Assist with compliance and governance of total rewards plans, identifying risks, participating in audits, and implementing corrective actions.
  • Collaborate with teams to develop and operationalize enterprise-wide solutions.
  • Identify and recommend improvements in People Services systems and processes.
  • Manage testing activities for benefits administration systems and support implementation of changes.
  • Train team members and HR associates on benefit topics and processes.
  • Complete annual benefit surveys and assist with wellness program administration and communications.
Key Skills and Requirements:
  • Bachelor's degree or equivalent experience.
  • Strong experience in benefits administration.
  • Analytical abilities with attention to detail.
  • Knowledge of HR policies, processes, regional employment laws, and benefits legislative requirements.
  • Proficiency in Excel (VLOOKUPs, pivot tables) and other Microsoft Office applications.
  • Ability to manage multiple tasks in a fast-paced, complex environment.
  • Business judgment to assess requirements and identify solutions.
  • Experience in a multicultural, multi-country work environment.
  • Strong communication skills to present technical information clearly.
  • Continuous improvement mindset.
Ideal Candidates Would Also Have:
  • Operational experience in other HR processes (e.g., talent acquisition, payroll, performance).
  • Experience in HR Shared Services delivery models.
  • Familiarity with systems like Workday, ServiceNow, Darwin, Morneau Shepell's Ariel.
  • Coaching experience to build team capabilities.
Other Qualifications:
  • Proficiency in English; additional European language skills are a plus.
