Responsibilities

  • Conduct site visits to ascertain scope of works.
  • Maintain quote trackers and client correspondence.
  • Liaise directly with clients to resolve queries.
  • Compile monthly applications and payment notices.
  • Conduct regular profit and loss checks.
  • Engage with suppliers for competitive pricing.

Are you a Commercial or Finance Assistant with experience working in the facilities management or construction industry? Do you have experience working on building maintenance or reactive works? Location: New Eltham with sites in Bexley and Bromley - hybrid working after probation is passed Salary: £31,000 per annum Are you known for your sharp eye for detail and a knack for numbers? This is an opportunity for a commercially‑minded individual with administrative experience to step into a role where your precision and diligence are paramount. If you have a background in a commercial or admin‑focused position and the confidence to liaise with various stakeholders, this could be the perfect next step in your career. You will be joining a key player in the facilities management sector, a company responsible for the building maintenance of vital public infrastructure, including London Southeast Colleges and Bexley Council's office buildings. Their work ensures these essential community spaces are safe, functional, and well‑maintained.

Responsibilities
  • Produce accurate quotes by interpreting information from engineers and performing due diligence to spot any potential errors.
  • Ensure profitable quotes for works are submitted on time.
  • Liaise with project teams and supply chain to obtain costs and programmes to support quotes.
  • Carry out site visits as necessary to properly ascertain scope of works.
  • Maintain the quote trackers and accurate records and filing of quotes, applications, and client correspondence.
  • Liaise directly with clients to resolve queries, follow up on approvals, and ensure smooth communication.
  • Compile monthly applications to our clients and assist with compiling monthly payment notices to sub‑contractors.
  • Conduct regular profit and loss (P&L) checks on individual jobs to ensure financial accuracy and performance are maintained.
  • Engage with suppliers to obtain competitive pricing, negotiate better deals on materials and services, and ensure best value for the business.

Requirements
  • Ideally 3 years' experience in a commercial or administrative role (ideally within facilities management or construction).
  • Some technical understanding of building maintenance and reactive works especially Fabric, Mechanical and Electrical works preferred.
  • IT proficient in MS Office, particularly in Excel and Word.
