Tameside and Glossop Early Attachment Service

Team Administrator – Band 4 – 0.6 wte (22.5 hours)

About the Service

An exciting opportunity has arisen to work within the nationally recognised Tameside and Glossop Early Attachment Service, one of the ten specialist Parent‑Infant Mental Health (PIMH) services that sit within Greater Manchester’s Perinatal and Parent Infant Service model. The service works to support parents, infants and young children to develop good quality relationships right from the start.

About the Role

This post is a job‑share offering 3 days (22.5 hours) at Band 4. The successful candidate will work collaboratively with the current post holder, handling the service’s day‑to‑day administration, liaison and data management.

Responsibilities
  • Lead and direct the administration of the service with a positive and fair approach.
  • Act as the first point of contact for professionals and service users, providing a friendly and helpful approach.
  • Provide full medical secretarial service, including typing letters, psychological reports, non‑clinical correspondence and minutes of meetings.
  • Use audio/shorthand, email and fax, and attend to photocopying as required.
  • Provide administrative oversight of the Service referrals, data and activity.
  • Maintain a daily referral record and monitor response times.
  • Plan and schedule activity for the service on a day‑to‑day basis.
  • Link reports with case notes where applicable and upload correspondence onto EPR.
  • Maintain an up‑to‑date appointments electronic diary and liaise with the multidisciplinary team.
  • Open, sort and distribute incoming post; maintain office filing system and stationery.
  • Take telephone messages and advise on the schedule; manage general enquiries from patients, relatives and referrers.
  • Act as a liaison for patients, clinicians, GPs, nursing staff, medical records and other agencies over the phone and face‑to‑face.
  • Liaise with Senior Managers and Clinical Leads regarding referrals and assessments.
  • Coordinate with Mental Health Teams, Practitioners and Local Authority staff as part of the family care team.
  • Ensure all claims forms/time sheets are completed and sent within the allocated time limit.
  • Represent the Local Records Manager, ensuring awareness of all policies and procedures in relation to health records.
  • Oversee the administration of training provided by the service, including room book‑ings and delegate lists.
  • Maintain and update the service database, including referral, response time, pathway and discharge data.
  • Provide data for analysis by Pennine Care Trust NHS Trust and monitor referral times, taking necessary action to address potential problems.
  • Ensure timely procurement of stationary supplies within defined budgets.
  • Ensure confidentiality is strictly maintained and that visitors/callers are welcomed promptly.
  • Attend Trust’s administration team meetings, Service admin meetings, managerial supervision monthly, and any other meetings, training or briefing sessions appropriate to the role.
  • Prioritise and manage own workload independently.
Qualifications and Experience
  • Highly developed people skills, showing professionalism and compassion to service users.
  • Experience in medical secretarial work, including typing, correspondence and minute taking.
  • Ability to liaise with a wide range of professionals and agencies.
  • Experience using relevant computer systems and an electronic referral database.
  • Strong organisational and time‑management skills, able to prioritise tasks unsupervised.
