We are looking to recruit an enthusiastic and motivated Support Medical Secretary to join our secretarial team within the Breast and Endocrine Surgery.
Responsibilities
- Provide day‑to‑day support to the PA/Medical Secretary team.
- Update and input patient information into the appropriate systems and spreadsheets.
- Book, reschedule and cancel appointments and clinics.
- Monitor clinic capacity and manage scheduling to optimise workflow.
- Complete necessary actions required from correspondence and requests received.
- Produce accurate correspondence in a timely manner, typing from audio dictation.
- Check documentation and actions for clinical correspondence.
- Support the 18‑week Referral to Treatment pathways, ensuring accurate recording on the Patient Administration System (PAS).
- Keep track of referrals to ensure patients are reviewed promptly and follow‑up appointments are arranged in conjunction with RTT.
- Check against clinical letters to ensure appropriate follow‑up arrangements and investigations are in place.
- Liaise with personal medical secretaries of specialties.
- Deal with enquiries from patients, consultants, junior doctors and colleagues, both by telephone and face‑to‑face.
- Ensure all correspondence relating to patient care is acted upon promptly.
Key skills & qualifications
- Education: GCSE/O Level standard or equivalent.
- RSA/OCR Level II or equivalent.
- Word Processing / Audio typing skills.
- Knowledge of medical terminology and secretarial procedures.
- Excellent I.T. skills and experience with Microsoft Office packages.
- Experience working in an NHS office environment.
- Strong communication skills and ability to use own initiative.
- Self‑motivated and able to work with limited supervision.
- Ability to manage and prioritise workload.
- Accuracy in maintaining computerised and manual filing/documentation systems.
- Teamworking ability and management of difficult/sensitive situations.
- Willingness to undertake further training as required.
