Overview

Service Administrator for the Blackpool Tobacco Addiction Service provides comprehensive administration support to members of the service and the public. The post holder is a key point of contact, ensuring efficient, responsive support and oversight of data management systems.

Key Responsibilities
  • Process new referrals and handle correspondence.
  • Manage the team’s phone hub, directing calls and messages to relevant staff.
  • Arrange and attend team meetings, book rooms, prepare agendas and take minutes.
  • Handle general office tasks: manage incoming/outgoing mail, photocopy, and respond to patient and public queries via telephone.
  • Schedule new and follow‑up patient appointments and maintain effective electronic and paper filing systems for audit purposes.
  • Ensure compliance with the Data Protection Act and Trust policy for confidentiality and audit requirements.
  • Archive patient notes and manage paper/electronic diaries for self and team members.
Requirements
  • Ability to work independently, organising and prioritising own workload.
  • Experience in developing, organising and implementing office procedures and systems, e.g., updating databases for referral processing and monitoring waiting times.
  • Completion of mandatory statutory training courses and up‑to‑date legal compliance.
  • Strong communication and organisational skills.
  • Good working knowledge of data management systems.
