About the role

As a Financial Planning Administrator, you will play a key role in supporting an Associate Director and their clients, ensuring the smooth coordination of all related activities. Working closely with the wider Associate Director support team, you will help deliver an efficient, high-quality service that enables exceptional client outcomes. This role is integral to ensuring the Associate Director is fully prepared for client meetings, managing diaries effectively, monitoring team workflows, and delegating tasks to maintain capacity and service standards.

You will provide comprehensive administrative support, including the preparation of reports and correspondence, maintaining accurate and timely records across systems such as Intelliflo, and managing leads, prospects, and existing client relationships.

With a strong focus on client experience, you will communicate confidently across multiple channels, maintain up-to-date knowledge of business processes and services, and contribute to wider business projects that support growth and continuous improvement.

About you

You are an organised and proactive Financial Planning Administrator with at least three years’ experience in a similar role within Financial Planning. You are confident supporting the preparation of client meetings, coordinating diaries for Associate Directors and Financial Planners, booking meetings, and maintaining accurate records using Intelliflo or a similar system. You enjoy working in a client-facing role and act as a key point of contact for client queries, communicating professionally and effectively at all times.

You are highly detail-oriented, able to work well under pressure, and comfortable processing new business, withdrawals, and general plan maintenance while ensuring clients are kept fully informed. With excellent interpersonal, numerical, and IT skills, you work on your own initiative and as a supportive team member, consistently demonstrating professionalism, discretion, and a strong commitment to delivering an exceptional client experience.

Key Responsibilities
  • Ensuring that the Associate Director is fully equipped to deliver client meetings to the highest standard.
  • Diary management of the Associate Director and support team, ensuring efficiencies.
  • Monitor the workflow of the team and ensure work is completed in a timely fashion.
  • Providing an excellent client experience to all clients of Attivo, communicating in writing, over the telephone or in person.
  • Delegate work to the team to ensure capacity is managed.
  • Providing full administrative support to the Associate Director, including producing letters and reports as required.
  • Ensuring all systems, including Intelliflo, are in a timely manner.
  • Ensure that all Lead, organic prospect and existing client relationships are managed effectively.
  • Proactively maintain an up-to-date knowledge of the Business processes and service offerings to our clients.
  • Provide project support to the wider business as required to support business changes and growth.
Essential skills and experience
  • Minimum 5 GCSEs graded A-C (6), or equivalent, to include Maths and English
  • 3 years’ experience in a similar role within Financial Planning
  • Existing knowledge of Intelliflo or a similar customer relationship/financial management tool
  • Client facing experience
  • Excellent interpersonal, listening, numerical and IT skills
  • Ability to work on own initiative
  • Professional, ethical, and discreet
  • Ability to build and maintain ongoing client relationships.
  • Ability to work well under pressure whilst maintaining excellent attention to detail.
