Job Introduction

Position: Senior Associate Sales Order Management

Location: Hoddesdon

About the Role

Pharmaron is currently looking to recruit a Senior Associate Sales Order Processing (SOP) supporting the Principal Associate SOP and working alongside the SOP Associates.

The role supports sales order processing of contracts, including invoice and revenue milestones, and tracking on project milestones. Other duties include supporting Finance teams on budgeting and revenue recognition processes, calculating budgets on larger contracts and other contracts order administration duties. This is a team role and there will be a lot of interaction with other departments such as Business Development, Operations and Finance.

Key responsibilities:
  • Maintaining sales order (contracts) and revenue records in our systems, from project set up through to fulfilment (release of milestones for invoicing and revenue respectively), in accordance with the contracts established with our clients and in compliance with company and accounting policies.
  • Translate contracts into sales orders/ projects in ERP system, including the invoicing and revenue recognition milestone profiles.
  • Trigger sales invoice requests and also revenue milestones in a timely manner - at signature of contract, regular monthly invoicing, per milestones or at project completion.
  • Work collaboratively with the Business Unit Directors and Project Managers to agree and ensure above milestones are recognised.
  • Work with Finance team members to ensure accurate recording of monthly revenue and budgeting.
  • Review contracts (Quotations, Work Orders and Purchase Orders) for completeness, compliance and accuracy.
  • Assist Project Managers by providing project timely reporting and analysis of information.
  • Assist in setting up and updating detailed tracking spreadsheets in Excel for multi-site/ complex/ long term projects.
  • Raise internal purchase order requests for multi-site projects.
  • Help to evaluate processes and procedures to enhance the effectiveness of the business operations to support the growth in quantity and complexity of deals.

  • Experience of working with complex contracts or ability, with training, to translate complex contracts into sales orders.
  • Able to operate using ERP systems.
  • Able, with training, to operate using our ERP system (Focal Point/Acess Dimensions).

  • Skilled in negotiating issues and influencing a wide range of stakeholders through clear and persuasive communication.
  • Consistently demonstrates persistence and a high level of self-motivation.

Requirements:
  • Minimum 2 years' experience in a similar role.
  • Minimum 2 years' experience booking Contracts into an ERP system.
  • Finance experience E.g. for setting up budget files and forecasting files for larger contracts, reviewing contract spend / status vs contract / PO value.
  • Strong Numeracy skills and proficient in Excel - for setting up invoice profiles.
  • Good working knowledge of other MS Office packages.
  • Well organised, methodical with excellent attention to detail.
  • Strong analytical and problem-solving skills.
  • Good standard of education - Minimum GCSE/O Level English and Maths or similar. A levels or more preferred.
  • Good written and verbal communication skills.
