Job description
Scheduling Manager - Architectural Design Team
About Us – Oakley Food Projects

At Oakley Food Projects, we are more than just a design-and-build partner — we are a family-owned business dedicated to helping food, drink, and pharmaceutical manufacturers expand, move, and future-proof their facilities with confidence. Since 2012, we have built a reputation as the turnkey factory fit-out specialists who take care of the entire process, from concept and design through to build and handover.

For our team members, this means working in an environment where collaboration, accountability, and innovation are valued every day. We understand that factory expansion projects can feel overwhelming for clients, so our role is to make the journey seamless — and your role will be central in ensuring that happens.

Joining Oakley means:
  • 🚀 Impactful Work: You will contribute to projects that will shape the future of UK food manufacturing, whether it's a gourmet popcorn factory or a large-scale meat processing facility.
  • 🤝 Close-Knit Culture: As a family-owned company, we pride ourselves on being approachable, supportive, and committed to each other's success.
  • 🌍 Client-Centric Mission: We exist to remove stress and complexity for our clients, delivering projects on time and on budget while building lasting partnerships.
  • 📈 Growth Opportunities: With a diverse portfolio of projects and a growing client base, you'll have the chance to develop professionally while working on meaningful, industry-leading initiatives.
About the Role

We are looking for a detail-oriented and proactive Scheduling Manager to join our dynamic architectural design team. This role is central to ensuring projects are delivered on time, clients are kept informed, and all stakeholders remain accountable throughout the design journey. If you thrive on organization, communication, and keeping complex projects running smoothly, we'd love to hear from you.

Key Responsibilities
Project Scheduling & Coordination
  • Develop and maintain project schedules across multiple architectural design projects.
  • Assign tasks, monitor progress, adjust timelines to meet deadlines, and forecast project completion dates.
  • Identify risks and proactively resolve scheduling conflicts.
  • Track estimated vs. actual time spent variances.
  • Have an eye for commercials and making sure design jobs are delivered as profitably as possible.
Client Communication
  • Act as the primary liaison between clients and the design team.
  • Provide regular updates, progress reports, manage expectations and hold them accountable for their deliverables throughout the project lifecycle.
  • Ensure clarity and transparency in all communications.
Accountability & Leadership
  • Hold team members and external stakeholders accountable to agreed deliverables.
  • Lead scheduling meetings, track action items, and ensure follow-through.
  • Escalate issues promptly and propose solutions to maintain project momentum.
  • Tracking/monitoring utilisation (billable vs non-billable time spent)
Process Improvement
  • Manage and refine scheduling tools and best practices

  • Ability to balance multiple priorities and adapt to evolving project needs.
  • Demonstrated leadership in driving accountability and results.
What We Offer
  • Opportunity to work with a creative and collaborative architectural design team.
  • A role that blends operational excellence with client-facing responsibility.
  • Competitive salary and benefits package, including profit share.
