Receptionist/Team Clerk

Fareham Community Mental Health Team are looking to recruit an enthusiastic and ambitious Receptionist/Team Clerk into our friendly, well established multi-disciplinary team.

Based in Fareham Health Centre, our location is served well by public transport, with plenty of nearby facilities and free on-site parking.

The successful candidate must be able to work well both in a team and unsupervised, with previous experience of working with computerised administration systems. Excellent interpersonal communication and customer care skills are required due to constant interaction, both face-to-face and on the telephone with members of the public and various members of the multi-disciplinary team.

The post holder will be expected to multi-task, have good time management skills, and hold the ability to prioritise their work appropriately, with a flexible approach to their work and working environment.

Main duties of the job
  • Process internal and external referrals received into the Admin Office
  • Ensuring all administrative processes including the handling of patient medical records, electronic systems and filing systems within the team are adhered to at all times.
  • Use initiative, planning and organisational skills that this position demands in the delivery of general administrative duties
  • Provide first point of contact for Service Users ensuring that opt in letters and appointments are booked within timeframes. The role will necessitate confidentiality at all times, with contact being face to face and via the telephone, requiring tact, sensitivity and reassurance at all times.
  • Flexibility to provide cover for colleagues during breaks, holidays, sickness and training.
  • To receive complex incoming and outgoing correspondence via telephone calls and emails from service users and carers, and deal with them where possible using a measure of independent judgement and initiative to ensure that messages are correctly transcribed and relayed in a timely manner.
  • Coordinate and organise actions arising from correspondence and ensure prompt and efficient response, as required, by the team/department staff.
  • To provide adopt flexibility working within the team to provide relevant cover for colleagues during periods of annual leave and other absence, as and when required.
  • To undertake any additional projects for the Administration Manager or Team Manager as required and within the boundaries of the banding.
