Job summary

A family firm of accountants in Thanet is seeking an experienced Receptionist/Secretary. The ideal candidate will possess excellent communication skills and outstanding office administration abilities. Responsibilities include welcoming clients, managing phone calls, organising diaries, and handling client correspondence. This position offers Monday to Friday working hours with potential for part-time options. Candidates should exhibit a polished and professional attitude.   • Answer phone calls, take notes/messages and redirect calls.
  • Organising diaries and scheduling appointments.
  • Filing, organising, scanning and copying documents in a timely manner.
  • Typing client correspondence and sending emails.

Job description

We are supporting a family firm of accountants located in Thanet, who are looking to appoint an experienced and highly professional Receptionist/Secretary.

The ideal candidate will exhibit excellent communication skills and competency in general office administration with a polished and professional attitude who create a positive first impression.

The working hours are Monday to Friday 09:30 to 17:30 with an hour for lunch. Our client would also consider offering part-time working hours for the right person.

Key responsibilities and tasks
  • Welcoming clients and visitors upon arrival at reception
  • Answer phone calls, take notes/messages and redirect calls when appropriate
  • Organising diaries
  • Scheduling and confirming appointments
  • File, organise, scan and copy documents in a timely manner
  • Typing of client correspondence
  • Sending out client correspondence / emails and other supporting functions
Skills and Experience:
  • Excellent administration and typing skills
  • Proficient in MS Office applications, such as Word, Excel, PowerPoint, among others
  • Excellent organisational skills; ability to multi-task
  • Professional and friendly manner as client facing role
  • Common-sense approach to problem solving
  • Able to take direction
