A friendly medical practice in Luton is seeking a receptionist/call handler to act as the first point of contact for patients. This role involves managing appointment systems, answering phone calls, and supporting clinical staff. The ideal candidate should have good interpersonal skills and be educated to GCSE level with qualifications in Mathematics and English. The role of receptionist / call handler is to provide first point of contact to the surgery and to provide support to project a positive and friendly image to patients and other visitors, either in person or via the telephone. It is part of the receptionist / call handler role to signpost patients to the appropriate clinician or service.
The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Maintaining and monitoring the practice appointment system
b. Process personal, telephone and e-requests for appointments
c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
d. Signpost patients to the correct service
e. Initiating contact with and responding to, requests from patients, team members and external agencies
f. Read code data on Sytmone
g. Photocopy documentation as required
h. Input data into the patients healthcare records as necessary
i. Manage all queries as necessary in an efficient manner
j. Carry out system searches as requested
k. Maintain a clean, tidy, effective working area at all times
l. Monitor and maintain the reception area and notice boards
m. Support all clinical staff with general tasks as requested
n. Complete opening and closing procedures in accordance with the duty rota
