Overview
We are looking for one part-time GP Receptionist/Administrator to join our friendly practice team working 15hrs a week. Applicants would ideally have experience of working in a patient/public environment, have good telephone and keyboard skills, enjoy a varied job role, and be flexible in covering for colleagues during absence.
Main duties
Reception Duties
- Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way
- Greet patients and visitors professionally and politely at reception and on the telephone
- Answer all incoming calls from patients and other healthcare professionals, navigate them to the appropriate clinician, and/or take and pass on messages
- Deal with administrative queries and requests from patients and act as liaison with clinicians as necessary
- Make, cancel, or rearrange appointments via the clinical system
- Support and assist clinicians as required
- Arrange interpreters as necessary
- Ensure up-to-date patient information is recorded
- Keep workspace and waiting area tidy
- Perform the lockdown procedure, set alarms, and lock premises each evening
- Monitor the recall system
- Ensure equipment on loan to patients is recorded and returned, cleaned, and fully functional
- Clerical Duties
- Ensure repeat prescriptions are completed accurately and efficiently following protocol
- Open, stamp and scan post as instructed following the Workflow Protocol
- File electronic scanned documents into the computerised record (medical documents, hospital reports and letters)
- Retrieve paper notes from storage unit as requested
- Photocopy documents as required
- Action tasks set by clinicians via clinical systems and email
- Deal with ad-hoc requests from other Primary Health Care Team members
- Data Duties
- Register and document new patients and temporary residents to the practice
- Book new patient checks and update patient details on the clinical system
- Review and action test results when required
- Read coding medical data into the clinical system and computerised medical records
- Set up and run clinical searches
- Provide information required for public health targets, including data checking and liaising with the clinical team to improve performance
- Participate in practice performance related to recalls for patients and maintain an up-to-date register
- General Duties
- Maintain security measures (e.g., locking doors, setting alarms where relevant)
- Leave desk tidy at end of day; maintain Health and Safety of staff, patients, and visitors
- Maintain confidentiality and comply with practice policies and procedures
- Carry out any other duties as reasonably requested by Clinicians or Practice Management Team

Person specification
Experience
- Essential: Experience in Customer Service & communication
- Desirable: 1 year experience dealing with the public
- Desirable: Experience with clinical computer system SystmOne
