Job summary

Job description

The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate who will be expected to work quickly, proactively and accurately in a fast-paced environment to deliver a high quality and comprehensive service.

The post holder will be interactive and will liaise with a variety of customers, both internal and external to the Trust, building an excellent working relationship providing an efficient, effective and professional reception service.

The post holder will work as part of the Facilities Team and will be required to work closely with their colleagues, providing a flexible comprehensive service offering cover for colleagues when necessary, for which full training will be provided.

Please note – This role is not eligible for sponsorship unless you meet criteria by temporary exemption from current changes to immigration rules put in force on 22/07/2025. Separate provisions are applied to workers who have been sponsored and held continuously Skilled Worker visa since prior to 04/04/2024.

Responsibilities
  • Act as first point of contact for the building, determining business needs and assisting all visitors with a welcoming, courteous, professional, friendly and helpful attitude at all times.
  • Ensure all visitors sign in and out of the building and are provided with relevant identification where required.
  • Contact staff when appropriate to announce/advise visitor arrival.
  • Ensure all reception duties and processes are carried out in a timely and accurate manner.
  • Ensure all emails received in the 'generic reception email' account are responded to and any requests/queries are dealt with.
  • Ensure the meeting rooms are in a suitable state prior to commencement of the meeting and the audio‑visual (AV) equipment is switched on and working.
  • Liaise with Logistic Team to ensure room layouts are correct & partitions opened/closed if required.

The Trust mandates all post holders who require a DBS for their role to subscribe to the DBS Update Service. You will be required to enrol for this service for a fee of £16 per year and maintain registration throughout your employment with GMMH.
