Radiotherapy Co-ordinator Team Leader (XN03)

ThePost-holder will be responsible for supervising on a day to day basis theteam of coordinators responsible for supporting the planning and delivery ofradiotherapy treatment by ensuring the administrative functions (transport,accessing notes & images, liaising with patients regarding appointmentsetc.) are completed.

Thepost holder must be able to communicate sensitively and effectively with awide range of people

includingpatients, medical and nursing staff, colleagues and other outside agencies inaddition to other departments throughout the Trust.

Main duties of the job

Thepost holder will assist in the organisation of the departmental teams workloadand provide a comprehensive support service to ensure the delivery of acoordinated and consistent operational radiotherapy service.

Provideday to day supervision of clerical staff, monitoring staffing levels on a dailybasis and adjusting when and where necessary to provide

appropriatestaff cover.

Beinvolved in the recruitment and retention of the clerical staff ensuring thatall new staff receive an appropriate induction and training to enable them tocarry out their duties.

Superviseand train members of the clerical team in all aspects of Patient Administrationand customer service, including the allocation of work on a daily basis and thereviewing of work performance and progress.

Alongwith the Outpatient Co-ordinator ensure clerical staff receive full briefingson current developments and be actively involved in staff

meetings.

Exercisesafekeeping of office equipment, including data held on the computer, workstations and any other equipment used.

TheTrust requires that all members of staff are appraised on a yearly basis andthe post holder will be responsible for the appraisals for the

allocatedteam members.

Coordinate the day to day activities of a team of coordinators.

To maintain regular communications with all staff to ensure they all receiveand participate in briefings and are aware of knowledge and

informationrelating to them and their role.

To be actively involved in the recruitment process.

Continually review staffing levels and ensure there is adequate cover forstaff during periods of absence or flexible working practices in order tomaintain a quality service.

Train and supervise members of staff in all aspects of the coordinator roleand exceptional customer service, motivating, improving

performanceand promoting team values to achieve required outcomes. Contribute to theidentification and planning of development needs for the team andindividuals.

Contribute to the assessment of staff performance against objectives and beresponsible for the performance development reviews of

ServiceManagement

Be responsible for the implementation of Trust procedures and protocolswithin the department.

Ensure the reception areas and appropriate appointment systems are managed inaccordance with Trust and Patient Access Policies and

withinspecialty guidelines.

Ensure that information on the relevant administration systems (e.g. Mosaiq,PPM) is recorded in an accurate and timely manner.

To be receptive to and assist in, the development and introduction of newways of working.

Ensure that joint working and close cooperation is developed with otherdepartments.

Undertake monitoring of performance to ensure high quality service delivery.

Respond effectively to telephone communications in a polite and helpfulmanner, observing the need for discretion and courtesy. Take

responsibilityfor returning any follow-up calls as necessary.

Support the induction process for all new clerical officers and work with theOutpatient Coordinator to develop refresher programmes/updates for existingstaff.

Responsible for ordering stock/stock control - liaise closely with departmentadministrator.

Any other duties, which may be required as determined by the OutpatientCo-ordinator or the Outpatient Site Manager.

consultants,nursing staff, managers, medical secretaries, and patient administrationstaff throughout the Trust. The post holder will be required to liaise andcommunicate clearly and professionally with cancer patients (many of whichare elderly, frail or confused), carers, and departmental staff at alllevels, including Consultant Oncologists.

SpecialWorking Conditions

i)Physical Effort:

Officebased and regular use of a VDU and display screen equipment. Moderatephysical effort (moving patients on trolleys, wheelchairs, with hoists etc.)is required on an occasional basis (could be several times per shift).

ii)Mental Effort:

Frequentrequirement for concentration working to departmental deadlines and servicelevel agreements.

iii)Emotional Effort:

Thepost holder will have direct contact with cancer patients and is required torecognize and ease distress of them. Occasionally, these patients will beterminally ill. Additionally, post holder will have occasional exposure toemotional situations when dealing with staffing issues.

iv)Working Conditions:

Therole involves a proportion of time in VDU usage (approximately 50%), one-toone situations with patients (30%), with the remainder split betweenadministration, restocking, telephone communications and supporting staffappropriately.

Indealing with patients (dressing, helping with toilet issues, attendingpatients on trolleys) the post holder will occasionally have direct contactwith bodily fluids, soiled linen, smells etc
