Job summary

A leading real estate services firm is seeking a Refrigeration Projects Coordinator to provide administrative and coordination support to the Refrigeration Small Works and Projects team. The role includes processing contract management forms, maintaining logs, coordinating with suppliers, and assisting Project Managers. The ideal candidate should have GCSE qualifications and preferably some experience in project support. Strong Microsoft Office and Excel skills are essential. This position is based in Leicester, and offers full-time hours, Monday to Friday.

  • Strong attention to detail with the ability to work under pressure.

Refrigeration Projects Coordinator (B2 Level)

Location: Leicester, Leicestershire, GBR

Reports To: Projects Operations Supervisor / Manager

Hours: 09:00-17:00, Monday-Friday

Role Purpose

Provide administrative and coordination support to the Refrigeration Small Works and Projects department, supporting Project Managers and Design Engineers in project delivery.

Key Responsibilities
  • Project Administration: Process contract management forms and compliance procedures
  • Raise purchase orders, sub-contracts, and sales invoices
  • Maintain daily Enquiry Log and Contract Tracker updates
  • Produce O&M manuals, H&S manuals, and site files
  • Coordinate with suppliers and sub-contractors for deliveries / installations
  • Project financial reporting and monthly profitability analysis
  • Process timesheets and credit notes
  • Maintain retentions ledger and warranty spreadsheets
  • Input data into Integral ERP system
  • Book travel and accommodations for team members
  • Answer phones, take meeting minutes, and general admin tasks
  • Manage equipment hire / off-hire and calibration coordination
  • Assist with warranty control and replacement parts ordering
Essential Requirements
  • Education: GCSE or equivalent in Maths, English, and IT
  • Experience: Project support role and/or project services / installation business background preferred, but open to first‑time workers.
Technical Skills
  • Microsoft Office Suite
  • Adobe Acrobat familiarity
  • Strong Excel, Word, and PowerPoint skills
