Job description

Title: Personal Assistant to the Partnerships Director NW and Director of Governance and Accountability

Contract Type: 12 month FTC Full Time 35 Hours

Salary: £35,951 per annum to £39,531 per annum (London weighted salary) or £32,188 per annum to £35,953 per annum (Regional salary) dependent on experience.

Grade: 7

Persona: Agile Worker: 20% - 40% of contractual hours to be worked from reporting office/working location (hybrid working)

Reporting Office: London Stratford or Manchester Trafford

Working Location: London and Manchester offices; travel between offices will be required.

Working Pattern: Monday to Friday 09:00 - 17:00

Responsibilities
  • Complex diary management dealing with ever changing meetings and demanding last minute requests.
  • Inbox management: determine and prioritise actions, identify areas of concern and ensure the director is aware.
  • Deal daily with a wide variety of colleagues and external partners, including those that report to the Director of Governance and Accountability.
  • Manage travel and accommodation requirements for the Directors, assessing and making accurate judgements of their time commitments.
  • Attend and organise meetings, take minutes, create and distribute agendas, and follow up actions.
  • Produce presentations, speeches and undertake research as and when required.>
  • Coordinate and keep on top of expenses, travel fees, mileage, probity, holiday requests and other HR requests.
  • Organise swift response to the signing of contracts and various documents.
  • Event Planning: organising site visits, conferences, roundtable events, departmental away days, broadcasts and more.
  • Excellent communication and being first point of contact to internally and externally handling complex and confidential requests in a timely manner.
  • Maintain a strong understanding of different teams and departments across L&Q.
  • Confident user of Microsoft Teams, experience in Live Broadcasts, team events, uploading, sharing and editing files and documents, use of team calls and functions during meetings.
  • Develop and maintain efficient and accurate electronic filing to ensure documents/information is easily accessible.
What you’ll bring – experience we are looking for
  • Ideally 2 years of PA experience at Director Level.
  • Ability to support 2 Directors effectively, one of whom manages a team of circa 60 colleagues.
  • Confidence to work alongside Board Members and Exec Directors to provide support where required.
  • Experience dealing with last minute changes to diaries, meetings, travel etc.
  • Ability to use your own initiative, make decisive decisions, have great attention to detail and a proactive work ethic.
  • Able to work both independently but also collaboratively with the other EA/PAs within the team.
  • Experience with expenses and signing of documents to meet deadlines.
  • Strong communication and having worked with a range of people at all levels, keeping a professional approach at all times.
  • Event planning from venue booking through to the running of the day, ensuring a smooth and valuable day.
  • Organising travel itineraries including hotel bookings, restaurant bookings, transport etc.
  • Strong computer skills mainly around Microsoft Teams, Word, PowerPoint and Excel.
  • Housing experience is not essential but would be a bonus.
