Job summary

A global corporate communications consultancy is seeking a Personal Assistant to support senior business leaders. You will provide best-in-class administrative support, including complex diary management, travel planning, and event coordination. The ideal candidate should have at least three years of experience as a Personal Assistant and strong proficiency in Microsoft Office. This role requires excellent client management skills and the ability to handle sensitive information confidentially. Immediate start in January expected.

Job description

Our client is a global Corporate Communications Consultancy. As Personal Assistant you will play an integral role in supporting senior business leaders and be responsible for providing best‑in‑class administrative support. This is an exciting, involving role with an immediate start for the New Year

Key Responsibilities
  • Supports Executive(s) directly with their clients and teams where necessary providing administrative, presentation or support with events including securing venues, catering, IT / equipment, tracking attendance, printing documents, and attending events to support on the day
  • Complex diary management across multiple time zones at a senior level, anticipating calendar changes and responding accordingly, including anticipating necessary pre‑brief or debrief meetings
  • Planning and management of travel arrangements and itineraries for very busy diaries, with an awareness of Senior Executive(s) priorities
  • Scheduling both internal and external meetings, organising project meetings and booking meeting rooms and catering where required
  • Additional administrative responsibilities which may include (but are not limited to) filing, managing document libraries, keeping marketing collateral up to date, maintaining records, expenses, invoices, timesheets, contact lists and databases
  • Assisting with pitch preparation and associated tasks, as well as marketing and events, understanding these can require support and onsite coordination outside of normal working hours
  • Assists with operational aspects of the Executive(s) role such as project set up forms, letters of engagement, organising client folders, scheduling meetings whilst maintaining strong professional relationships
  • Supports other EAs/PAs during times of leave or sickness and creates a mature, supportive, and efficient environment for the wider support team to work in
Essential Skills and Experience
  • The successful applicant will be available to start in January; therefore, candidates must be available with no more than 2 weeks’ notice
  • At least three years’ experience as a Personal Assistant/Team Assistant
  • Strong proficiency with Word, PowerPoint, Excel, and Outlook skills
  • Experienced in producing high quality documents i.e., PowerPoint decks, Word proposals and Excel databases
  • Experience and confidence in managing expectations around busy periods (results / events)
  • Strong capabilities in proactive client and stakeholder management
  • Able to manage business‑sensitive information in a professional manner whilst maintaining highest levels of confidentiality
