Job description

The postholder will be responsible for providing an effective and efficient service in line with department and Trust standards policies and procedures. Duties will include coordinating diaries, reception, answering enquiries both through email and telephones, appointment bookings and billing support. The successful candidate will also be required to provide administrative support, as well as performing other administrative duties including taking payment for self‑funding patients and providing operational administrative support to the Practice Manager. Occasionally, the successful candidate may be required to provide administrative assistance to cover clinics taking place in the evening and over the weekend.

The role will also involve managing and overseeing the financial administrative component of the Practice management software i.e. processing invoices for self‑funded and insured patients, collecting patient payments and monitoring and updating operational data quality.

Responsibilities
  • To provide reception duties which will include assisting service users, visitors and staff in a helpful and tactful manner and allowing access to the building.
  • To deal professionally and sensitively with telephone enquiries, taking messages and using initiative to follow up actions as appropriate.
  • To provide proactive and comprehensive administrative support to ensure that all office procedures are carried out efficiently and where necessary initiate new ones bringing ideas to the team in order to maximise effective working.
  • To assist and reassure patients who may be distressed or confused.
  • To generate and issue invoices to patients for clinical services, ensuring that they are accurate and paid on time.
  • Maintain accurate billing records, including payment history and upcoming payments.
  • Follow up on outstanding invoices and work with clients to resolve payment issues.
  • Ensure that urgent matters are brought to the attention of relevant staff quickly and accurately.
  • Updating the patient record system i.e. user contact details, outcome of appointments, processing registration forms.
  • Taking and scheduling deliveries.
  • Arranging interpreters where required.
  • To take care of and ensure that all equipment and physical resources are maintained and in working order.
  • To order supplies and follow up with suppliers.
  • To assist with Health and Safety compliance.

South London and Maudsley NHS Foundation Trust (SLaM) provides the widest range of NHS mental health services in the UK as well as substance misuse services for people who are addicted to drugs and alcohol. SLaM employ around 5,000 staff and serve a local population of 1.1 million people. We have more than 230 services including inpatient wards, outpatient and community services. Currently, we provide inpatient care for approximately 5,300 people each year and treat more than 45,000 patients in the community in Croydon, Lambeth, Lewisham and Southwark.

The successful candidate will work closely with Consultant Psychiatrists and Psychological Therapists who offer private assessments and treatment from the service through a practising privileges arrangement. The post holder will proactively build excellent working relationships with all colleagues involved in the service as well as external stakeholders.

The post holder will deliver excellent customer service at all service touch points including enquiry, bookings, arrival, departure and during service delivery, to ensure patients, families and carers receive an outstanding experience.
