Operations Manager - Aviation/Defence/Military

We are currently recruiting for an Operations Manager - Aviation/Defence/Military to join our client based in Swindon.

Essential Duties and Responsibilities (Other Duties May Be Assigned)
  • Manages receiving, inventory control and shipping functions.
  • Manages and updates Quantum iaw operating procedures.
  • Manages packing, packaging, and labeling functions.
  • Performs inventory stock takes and maintains accurate inventory levels and locations of parts stocked.
  • Trains new employees and guide them along to bring their knowledge and awareness about the processes and procedures applicable to the employee's job function.
  • Prepares reports about various store transfers, new inventory lots, and overages, shortages, and discrepancies for each transfer and new inventory lot received and inspected by inventory control personnel.
  • Manages warehouse facilities including off-site storage and equipment and recommends changes in allocation of space.
  • Remains cognisant of all ISO 9001:2000, AS9100, FAA AC 00-56, EASA, FAA, IATA, US Dept. of Commerce, US Dept. of State, US Dept. of Treasury, US Customs and Border Protection, and DOT regulatory requirements, and additional quality requirements for specific customers.
  • Manages the calibration program.
  • QA, Health/Safety and Security:
    • Implements Quality programs and monitors the progress of such programs through regular audits.
    • Manages the internal audit program.
    • Modifies work procedures per instructions outlined in AASS' ISO/QA manuals and checks for conformance with company initiatives (CPAR).
    • Maintains accurate records of QA variables as required by ISO guidelines and compiles the QA data for presentation to management representatives and for management review meetings.
    • Conduct operations in accordance with company policies and procedures.
    • Perform operations in a manner and as required by the company's ISO9001:2000 accreditation and in accordance with the requirements of FAA Air Circular 00-56A.
    • Maintain the integrity and security of the warehouse and its contents.
    • Operate proficiently and safely all warehouse equipment in accordance with CAL OSHA and federal regulatory requirements.
    • Ensure forklift, company vehicles and warehouse equipment are serviced to the maintenance and safety standards of manufacturers' recommendations.
    • Cooperates with other top management personnel in formulating and establishing the company's quality policy and supporting goals and objectives.
    • Evaluates the quality of subcontractor parts and services.
    • Manages and able to justify spending and site budget requirements.
    • Cover AOG (Aircraft on Ground) out of hours requirements.
    • Other duties as dictated by Senior Management.
Supervisory Responsibilities
  • Supervises all personnel in operations and shipping departments.
  • Ability to prioritise assignments and tasks of immediate requirements, and of the medium and longer term.
  • An efficient and systematic approach to the assignments and tasks so that they are fully completed to the company's standards, and to schedule.
  • Ability to evaluate personnel's performance and set objectives for improvement of job performance, training requirements (on the job and formal) and to attain additional skills to enhance the employee's value to the organisation.

Education and/or Experience

A college or university degree / certificate; or a minimum of 5 to 10 years' related experience in aircraft parts distribution environment and/or training; or equivalent combination of education and experience.

Knowledge and understanding of aircraft parts documentation, not limited to:

  • Certificates of Release
  • Overhaul
  • Repair or Maintenance paperwork
  • Trace and BTB (Back to Birth) paperwork
Language Skills

Ability to read, analyse, and interpret technical procedures, and governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers and reports. Ability to interact verbally and in written form with customers (via email, letter, etc.).

Mathematical Skills

Ability to calculate figures and amounts such as weights, and proportions. (Multiplication, Division, & Percentages required). Ability to apply concepts such as percentages, ratios, and proportions to practical situations.

Reasoning Ability

Ability to solve problems involving a variety of concrete variables in situations where only limited standardisation exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Certificates, Licences, Registrations

ISO/QA In-house (AASS) certification or evidence of prior training/certification.

Dangerous Goods Certification - Storage, Handling and Shipping. Certification must be valid for at least 6 months from date of hiring.

Export Control Regulations course certification (in-house AASS training) or evidence of prior training/certification.

Certificate in Supervision, employee evaluation and conflict resolution (in-house AASS training) or evidence of prior training/certification.

  • All ISO Operating Procedures.
  • Inventory data handling and input into appropriate database using a computer terminal.
  • OP 2-1, Quality System Documentation.
  • Quantum work instructions related to stock management (Receiving, making changes, shipping).
  • Dangerous goods handling and documentation.
  • Aircraft part documentation requirements per ISO 9001:2000, FAA AC 00-56A and contractual requirements for specific customers. I.E. Ability to read and understand Certificate for Release documents (EASA, FAA or other Release Form One), ability to review BTB (Back to Birth), Trace documentation and understand its importance
