Job Purpose

The Operations Coordinator ensures the smooth and efficient day‑to‑day running of RedJacket’s services. This includes coordinating complex rotas, managing operational workflows, supporting staff across multiple service types, and maintaining compliance with internal and regulatory standards. The role requires excellent problem‑solving skills, strong communication, and the ability to stay calm and effective in testing or rapidly changing situations.

Key Responsibilities
Operational Coordination
  • Oversee daily operational activity to maintain safe, consistent, and high‑quality service delivery.
  • Act as a central point of contact for operational queries, providing timely and practical solutions.
  • Work closely with managers and service leads to maintain stability across all services.
  • Identify operational risks and elevate concerns to the Senior Operations Manager and Director.
Scheduling & Workforce Management
  • Lead on creating and adjusting complex rotas across residential, supported living, and complex care packages.
  • Ensure rotas are optimised for continuity, staff suitability, client‑specific needs, and efficiency.
  • Respond quickly and calmly to challenges such as sickness, staff shortages, or emergency cover.
  • Collaborate with the on‑call team to ensure seamless out‑of‑hours operational support.
KPI & Reporting Responsibilities
  • Produce accurate, timely Key Performance Indicators (KPIs) to support organisational decision‑making.
  • Monitor key operational metrics such as cover rates, lateness, sickness, incident response times, and rota performance.
  • Present KPI data to the Senior Operations Manager and Director in clear, actionable formats.
  • Support continuous improvement by analysing trends and identifying operational pressures.
Service Quality & Compliance
  • Maintain high standards of documentation, scheduling logs, and operational records.
  • Support compliance activities including audits, service reviews, and follow‑up actions.
  • Ensure operational processes align with CQC requirements and RedJacket policies.
  • Assist with incident coordination, reporting, and follow‑up investigations as needed.
Teamwork & Communication
  • Work closely within a collaborative office team, contributing positively to a supportive environment.
  • Communicate clearly with staff, managers, external professionals, and family members.
  • Support new starters with onboarding tasks such as shadowing allocation and training coordination.
  • Adapt to changing priorities and maintain a calm, solution‑focused approach during operational pressure.
Office Administration & Coordination
  • Maintain accurate data across digital care systems and scheduling platforms.
  • Prepare operational reports, staff deployment notes, and activity summaries.
  • Attend operational meetings and contribute to service development initiatives.
  • Maintain confidentiality, professionalism, and organisational values at all times.

Experience & Qualifications
Essential
  • Previous experience in a health and social care operational role.
  • Strong understanding of care‑sector compliance, workforce management, and rota coordination.
  • Proven ability to handle high‑pressure operational environments calmly and professionally.
Desirable
  • Experience in complex‑care scheduling or multi‑service operational management.
  • Drivers License.
  • Experience with systems such as Sona, FindMyShift, CarePlanner, or similar.
  • NVQ / QCF Level 3 or higher in Health & Social Care, Leadership, or Business Administration.
