Overview

Office Manager (Part-time ~8 hours/week) — Long Wittenham Pre-School

Purpose: Manage day-to-day administration remotely with at least one on-site visit weekly. Support the Management Committee and Pre-School Manager, ensure compliance with policies, maintain records, and liaise with parents and professionals. Long Wittenham Pre-School is a committee-run, not-for-profit charity operating from the village hall in a pack away setting.

Key Responsibilities
  • Oversee admissions, registers, staff records, and communications.
  • Handle enquiries, purchasing, and resource management within budget.
  • Manage invoicing, fee collection, payroll, and funding claims.
  • Ensure compliance with safeguarding, GDPR, and health & safety.
  • Assist with marketing, newsletters, and committee reports.
  • Maintain children’s registration and communicate with prospective parents.
  • Apply for funded places and additional funding via OCC portal.
  • Liaise with Village Hall committee on lease and site issues.
  • Support recruitment: job adverts, applications, references, DBS checks.
  • Maintain staff records and provide support to staff and trustees.
  • Pay bills and manage purchases for equipment, resources, and utilities.
  • Manage payroll using Xero, including tax and pension contributions.
  • Maintain subscriptions and insurance (Tapestry, Early Years Alliance, ICO).
  • Attend termly trustee meetings and update website content.
  • Other duties as assigned.
Essential Skills
  • Strong administrative experience.

  • Experience in childcare/education settings.
  • Bookkeeping knowledge.
