Job description

M+C Saatchi Talent Group (including M+C Saatchi Merlin & M+C Saatchi Social)is on the hunt for a superstar Office Coordinator to join our team. This full-time role reports directly to the Managing Director of Merlin and is based in our London office.

ABOUT THE ROLE

As the Office Coordinator, you will play a critical role in supporting our Managing Directors, colleagues, and visitors. You will collaborate closely with various internal teams such as Building Services, People team, IT, Travel team, and Front of House.

What you'll do:

Your responsibilities will include, but are not limited to:

  • Greeting clients, visitors for the Talent Group, while ensuring meeting setups, catering requests, and seamless experiences for the Senior Leadership Team and guests.
  • Managing the Managing Director of Merlin's diary, ensuring efficient scheduling and prioritization of appointments.
  • Overseeing the organization of office layout, stationery, and equipment supplies, working collaboratively with building services.
  • Acting as the main point of contact for office management needs, coordinating with building services and IT to deliver M+C Saatchi Talent Group's requirements within specified budgets and timelines.
  • Liaising with building services for office maintenance, cleaning, and necessary repairs.
  • Conducting research and manage relationships with suppliers, adopting an inquisitive yet business-minded approach.
  • Managing finance-related tasks such as estimating and raising purchase orders for office needs outside Building Services.
  • Ensuring meeting room AV equipment is well-maintained and in working order.
  • Collaborating with Building Services to facilitate office moves and redesigns, and managing the office layout,
  • Coordinating events.
  • Maintaining relationships with suppliers and vendors, demonstrating commercial acumen and protecting the company's interests through cost-effective purchasing activities.

ABOUT YOU

What you'll bring:

  • Proven experience in an administrative or office management role.
  • Previous experience managing at least two Outlook calendars and responding to emails on behalf of someone else.
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Excellent communication and interpersonal skills.
  • High level of attention to detail.
