About PMB Accountants

PMB Accountants provides a full range of accountancy services to a diverse client base from its Comber office. As Company Administrator, you\'ll help the practice run smoothly day-to-day while supporting colleagues and clients with timely, accurate admin.

About the Role

Reporting to the Director, you\'ll handle front-of-house client care and the core administration that underpins a modern accountancy practice—diary support, document management, deadline tracking, HMRC and Companies House updates, and AML checks. You\'ll also help maintain office standards, from stationery and filing systems to weekly safety checks.

Key Responsibilities
  • Front-of-house & client care: Answer calls, follow up with clients, respond to emails, greet visitors, schedule appointments, and assist with diary coordination.
  • Office operations: Open and distribute post, maintain stationery levels, manage the physical and digital filing structure, file documents daily/weekly, purchase petty-cash items, organise occasional staff socials, and perform the weekly fire alarm test.
  • Practice admin: Maintain the practice database and job tracker, request information from clients to keep workflow moving, and arrange return of physical documents on completion.
  • Deadlines & compliance: Monitor monthly filing deadlines (Companies House/HMRC), flag imminent risks to management, and provide a month-end status update three working days before month end.
  • HMRC/Companies House: Register clients for taxes, secure agent authorisations, record client detail changes at Companies House, and update annual confirmation statements.
  • AML support: Carry out Anti-Money Laundering checks from notes and pre-meeting questionnaires and liaise with HMRC as required.
Qualifications & Experience
  • Essential: Solid office administration background (ideally in professional services), confident telephone and written communication, strong Microsoft Office skills, and reliable record-keeping/filing habits.
  • Desirable: Experience in an accountancy practice or financial/professional services; familiarity with HMRC and Companies House processes; comfortable handling basic compliance tasks (e.g., AML checks) and tracking statutory deadlines.

Detail-oriented, proactive, calm under pressure, a helpful team player who enjoys client interaction and can juggle priorities without dropping standards.
