We are a busy,active practice located in HendonNW4.

We are looking to employreceptionists/administrators with excellent communication skills who have had previous experience in a medical setting. The successfulcandidate will join a busy GP Practice during a time of change on how patientswill interact with the practice. As the first point of contact, this role isintegral to our approach to patient care, both face to face and on thetelephone.

Main duties of the job

As an integral part of the medical reception teamand, along with the other receptionists, have responsibility for the efficientoperation of all reception activities, including the front desk, telephonesystem, medical files and waiting area.

Competent at operating computerised appointmentsystems in accordance with the access protocol.

Must possess good communication/customer serviceskills, good computer skills, experience of working in a team, ability to dealwith difficult situations and awareness of customer care and confidentiality.Experience in EMIS Web would be beneficial.

Our existing team is friendly, helpful andexperienced. The practice team consists of 2 Partner GPs, 5 Salaried GPs, 2 practicenurses, Health Care Assistant,clinical pharmacist, social prescriber, firstcontact physio, practice manager, admin and reception managers, and admin andreception staff.

Job summary:

Receive, assist and directpatients in accessing the appropriate service or healthcare professional in acourteous, efficient and effective way.

Provide general assistance tothe practice team and project a positive and friendly image to patients andother visitors, either in person or via the telephone

Job responsibilities:

  • Ensurean effective and efficient reception service is provided to patients andany other visitors to the practice
  • Dealwith all general enquiries, explain procedures and make new and follow-upappointments.
  • Usingyour own judgment and communication skills ensure that patients with noprior appointment but who need urgent consultation are seen in a logicaland non-disruptive manner.
  • Explainpractice arrangements and formal requirements to new patients and thoseseeking temporary cover and ensure procedures are completed.
  • Receiveand make telephone calls as required. Divert calls and take messages,ensuring accuracy of detail and prompt appropriate delivery.
  • Enterrequests for home visits into the visit book, ensuring careful recordingof all relevant details and where necessary refer to duty doctor.
  • Actionrepeat prescription requests and ensure that they are ready for collectionby the patient within 48 hours, either on the computer or manually.
  • Preparelists and notes for all surgeries and clinics held, ensuring completion ofall associated paperwork.
  • Advisepatients of relevant charges for private (non General Medical Services)services, accept payment and issue receipts for same.

  • Patientnotes and correspondence:
  • Retrieve and re-file records as required,ensuring strict alphabetical order is adhered to
  • Ensure correspondence, reports, resultsetc are filed promptly and in the correct records, ensuring that allrecent correspondence is available when patients are seen.
  • Ensure records are kept in good repairwith all necessary information on the outside cover clearly visible.
  • Makeand serve refreshments, ensure the kitchen is kept clean and tidy and airand tidy the waiting room in turn with other staff.
  • Open up premises at the start of the daywhen first to arrive, de-activate alarm and make all necessarypreparations to receive patients.
  • When last to leave at the end of the day,ensure that the building is totally secured, internal lights are off andthe alarm activated.
  • Ensurethat all new patients are registered onto the computer system promptly andaccurately
  • Undertakeany other additional duties appropriate to the post as requested by thePartners, Reception Manager, Administrative Manager or the PracticeManager.

  • Usingpersonal security systems within the workplace according to practiceguidelines
  • Identifyingthe risks involved in work activities and undertaking such activities in away that manages those risks
  • Makingeffective use of training to update knowledge and skills
  • Usingappropriate infection control procedures, maintaining work areas in a tidyand safe way and free from hazards
  • Activelyreporting of health and safety hazards and infection hazards immediatelywhen recognised
  • Keepingown work areas and general / patient areas generally clean, assisting inthe maintenance of general standards of cleanliness consistent with thescope of the job holders role
