Job Purpose
To be instrumental in ensuring the smooth and efficient running of the Marketing, Admissions and Alumnae/Development (Foundation) Office. The role requires excellent communication, discretion, professionalism and the ability to manage multiple priorities in a fast-paced environment. To support the Head of Communications, Marketing, Admissions and Alumnae/Development in all aspects of the School’s marketing and communications activities, contributing to student recruitment, community networking and relationship-building and the wider promotion of the School’s brand, proposition, values and achievements, alongside interaction with Admissions and Development/Alumnae functions. To bring energy, enthusiasm, organisational skill and can‑do creativity to our Marketing team by helping tell our brand story across all platforms. Main Responsibilities
Administration
- Provide administrative support to the Head of Communications, Marketing, Admissions and Development/Alumnae.
- Manage and maintain the Marketing and Development/Alumnae inboxes, process correspondence, emails and documentation, drafting responses where appropriate.
- Maintain efficient filing system for Marketing and Development/Alumnae administration.
- Diary support, schedule meetings, room bookings, basic IT/tech set up and ‘meet and greet’ for internal and external meetings for the Marketing, Admissions and Development/Alumnae teams.
- Prepare meeting agendas, papers, presentations, meeting notes and reports as required.
- Attend meetings as required, taking minutes and tracking actions.
- Monitor deadlines, follow up on outstanding actions and support workflow management.
- Manage office supplies, merchandise stock and general administrative tasks.
- Handle confidential information with absolute discretion.
Data
- Support the input, management and analysis of data and analytics that underpins the work of the marketing and development functions and business aims of the school.
- Maintain contact lists, image libraries and shared files across digital filing systems (Sharepoint/Teams).
- Assist with market research, competitor reviews and audience insights.
- Monitor campaign KPIs and prepare simple reports for the Head of Communications, Marketing, Admissions and Development/Alumnae.
Communication
- Communicate effectively with all internal (school staff and support teams) and community stakeholders in order to deliver the aims of the marketing and development functions.
- Liaise with staff, parents, partners and external contacts on behalf of the manager, acting as first point of contact for external agencies, partners and companies relating to Public Relations and media opportunities.
- Ensure clear and timely communication within the team and wider organisation.
- Draft and proofread letters, marketing communications, advertising, newsletters and announcements.
Marketing Communications
- Support the administration and execution of all marketing and communications campaigns (eg traditional and digital advertisements, public relations, website, social media, print materials).
- Support the production of marketing and communications materials for marketing and development/alumnae campaigns (eg liaison with design, videography, photography and print suppliers).
- Coordinate internal communications in order to achieve marketing and development/alumnae aims (eg working with departments to support production, managing and coordinating GDPR reqs/photo permissions, and with Brand Ambassadors share information).
Project Support
- Assist with projects, research and information gathering.
- Support the production and execution of copy‑writing, professional videography and photography for use in the school’s marketing.
- Track progress on ongoing initiatives and provide status updates.
- Support monitoring of budgets, invoices and expense claims.
Event and Meeting Coordination
- Represent, when required, the school and marketing team at internal and external events.
- Support events such as Open events, Alumnae reunions and key brand events.
- Arrange logistics for meetings, brand events and visits and support planning and preparation for internal and external events.
- Coordinate hospitality, room bookings, travel and accommodation, where necessary.
General Duties
- Represent the School with professionalism and integrity at all times.
- Build positive working relationships across the organisation.
- Undertake any other duties reasonably required that are commensurate with the role.
