Job summary

A leading entertainment company is seeking a Licensing Assistant to join the planning team. This role involves supporting the Licensing Coordinator with administrative tasks related to event compliance and documentation. Ideal candidates will have strong communication skills, attention to detail, and be able to work under pressure. Onsite work is required throughout the summer, and the position offers a fixed-term contract for 9 months.

Job Summary

Company: Festival Republic

Location: Farringdon, London. Work onsite required throughout the summer.

Reports to: Licensing Coordinator

Working Hours: Monday to Friday 10am – 6pm, with extra weekend working throughout the festival season as required. Onsite hours are 8am – 8pm.

Contract: 9-month fixed term contract

Role Description

The Licensing Assistant role is predominately administrative, providing support to the Licensing Coordinators and is therefore a key part of the planning team for Festival Republic events. The main aim is to assist in completing tasks and meeting deadlines for each of the events.

What The Role Includes
  • Assisting the Licensing Coordinator with the licensing of the event
  • As delegated by the Licensing Coordinator, writing and updating the Event Management Plan and associated appendices along with other key submitted documents
  • Assisting the Licensing Coordinator as delegated with the compliance of the event with all licensing and legal obligations as well as all other commitments made and the implementation of policies
  • Assisting the Licensing Coordinator as delegated with strong liaison with statutory and non‑statutory local agencies (e.g. police, fire, ambulance service, landowner, environmental health, licensing, emergency planning)
  • Regular liaison with and progress reports to the Licensing Coordinator
  • Assisting the Licensing Coordinator as delegated to achieve the planning of the event in relation to traffic management, security, security co‑ordinators, eviction team, onsite medics, fire safety team, welfare team, campsite stewards, arena stewards, parking team, information team, lost property, noise consultants, structural engineers, mystery shoppers, complaints, debriefs etc.
  • Assisting with quotes and updating budget spreadsheets on an ongoing basis as delegated
  • As delegated by the Licensing Coordinator, sending out confirmation letters, purchase orders and relevant Health and Safety paperwork and ensuring that any additional documentation required as a condition of contract is included
  • Collating all Licensing contractors’ and staff requirements onsite
  • Ensuring all contacts for the show are updated and circulated
  • Feeding into the production schedule throughout the planning process and ensuring all contractors and staff arrival and departure details are included on it as well as licensing conditions and agency meetings
  • Dealing with accounts queries – checking purchase orders, details of payments and agreed terms, investigating problems
  • As delegated collecting contractor debriefs and passing to Licensing Coordinator for collation
  • Ad hoc tasks as required
  • Working onsite in the licensing office
