Job description

Kennedy’s Legal Support Assistant (LSA) team plays a vital role in delivering comprehensive administrative support across UK and global offices. The team works as an integral part of the secretarial community, ensuring timely and accurate document services for the firm. A key position within this team is the Legal Support Supervisor, who reports to the Team Leader and oversees the day‑to‑day management of LSA staff.

Responsibilities
  • Manage a team of direct LSA reports, collaborating with another LSA Supervisor to oversee workflow and meet service level agreements.
  • Triage SD & BigHand requests, monitoring turnaround times, allocating work and reviewing quality control output with the team.
  • Escalate unrealistic document deadlines to the LSA Team Leader and manage expectations with the staff.
  • Champion the LSA team within Kennedy by promoting visibility on intranet, newsletters and through internal platforms.
  • Create and maintain guidance sheets, knowledge banks and a matter expertise knowledge base for the LSA community.
  • Lead performance management: conduct reviews, gather feedback, set SMART objectives and hold regular one‑to‑one meetings with team members.
  • Support recruitment: lead interviews, onboarding and provide a five‑point experience for new hires.
  • Assist triage helplines (insurance team) to ensure LSAs acknowledge calls within agreed timeframes.
  • Work with the Healthcare Team Coordinators to oversee and cover CMS upload allocations.
  • Facilitate employee‑relations meetings and return‑to‑work discussions in conjunction with the LSA Team Leader.
  • Authorize holiday, absence requests and cover for the LSA Team Leader and colleagues as required.
  • Build strong relationships with LSAs and wider teams, ensuring effective up‑stream communication and timely completion of tasks.
  • Ensure all LSAs receive necessary training, reducing errors and enhancing capabilities.
  • Collaborate with the LSA Team Leader to identify skill gaps, implement training programmes and perform quality check reviews.
  • Serve as an early adopter: pilot new technology initiatives, provide constructive feedback and promote best practice.
  • Encourage teamwork and foster a sense of belonging throughout the LSA community.
  • Maintain visual identity standards, ensuring all documents comply with Kennedys brand guidelines.
  • Demonstrate advanced proficiency in MS Office and workflow tools such as ServiceDesk Plus, Kase, K2, BigHand, Excel, PowerPoint and Outlook.
  • Provide backup support for the other Legal Support Supervisor and the Team Leader during absences.
Qualifications
  • Experience working in a law firm, preferably with strong business services exposure.
  • Proven track record of leading and motivating a remote or distributed team.
