Overview

Geldards LLP is a leading regional law firm with offices in Cardiff, Derby, Nottingham and London. We are currently recruiting for a Legal Administrator to join our Private Client team in our Nottingham office.

In this role you will be a key player in the Private Client team in Nottingham, primarily providing comprehensive administrative assistance to Partners and other fee earners in the department.

Responsibilities
  • Audio typing via digital dictation system of documents such as letters, correspondence, contracts and attendance notes.
  • Copy typing draft to finished items.
  • Answering external calls to fee earners or general telephone enquiries into the team and politely taking an accurate message and contact details to promptly pass on to the relevant fee earner if they are unavailable, and advising caller as to when they may expect a call back.
  • Processing incoming cheques and acknowledgments.
  • Arranging appointments, meetings, room bookings, travel and accommodation, and lunches as required.
  • Photocopying, faxing and scanning documents as and when required.
  • Preparing draft bills, including disbursements from billing guides, updating team billing schedule.
  • Preparing relevant forms for accounts including payment requests, etc.
  • Completing IHT forms and wills, powers of attorney and other legal documents (under the direction of a fee earner).
  • File administration and closures and money laundering requirements.
  • Exercise confidentiality, discretion, personal sensitivity and utmost courtesy in all aspects of the role, particularly when dealing with clients.
  • Dealing with telephone enquiries from new/existing clients regarding release of wills, deeds and requests for other information, and liaising with fee earners to respond appropriately.
  • Scheduling deeds, wills, powers of attorney and other Private Client documents and requesting receipt upon dispatch.
  • Carrying out online HMLR searches for office copy entries.
  • Preparing official forms for searches and applications.
  • Engrossment of wills, trust deeds and other legal documents prepared within the team as requested by fee earners.
  • Updating critical dates diary, wills, powers of attorney and trust databases.

Benefits
  • 35 hour working week - Monday to Friday, 9am to 5pm.
  • 25 days annual leave plus bank holidays (increasing to a maximum of 30 days for additional years of service).
