Your mission

We are looking for a Junior Purchase Ledger Assistant to join our team in the London office.

Location

London Office (Hybrid)

Contract

Permanent Full Time 5 days per week (35 Hours)

Key Responsibilities
  • Support the Purchase Ledger Controller with day‑to‑day purchase ledger tasks.
  • Download invoices and credit notes from the shared email inbox and distribute them to the appropriate departments for authorisation.
  • Accurately code invoices to the correct nominal codes and enter them into the purchase ledger system (Access Dimensions).
  • Assist with responding to basic supplier and staff queries via email and telephone, escalating more complex matters as required.
  • Help maintain invoice records and ensure all documentation is filed correctly and promptly.
  • Support with reconciling supplier statements by checking for missing invoices and assisting with chasing outstanding items.
  • Provide administrative support during month‑end processes, including preparation of reconciliations under supervision.
  • Assist with the monthly payment run, including preparing remittance advice for distribution by email or post.
  • Process staff expense claims, including coding and entering them into Access Dimensions, ensuring queries are escalated as needed.
  • Aid in the implementation and ongoing use of the invoice approval system, including basic troubleshooting and user support.
  • Work collaboratively with the Accounts team and other departments to ensure smooth workflow and timely processing of financial documents.
Your profile
  • Previous and relevant experience in Purchase Ledger (highly desirable but not essential).
  • Ability to prioritise, plan, and be flexible in accordance with work responsibilities to meet deadlines.
  • Accurate and numerate with a high level of attention to detail (essential).
  • Excellent communicator, both written and verbal, with effective communication skills at all levels.
Experience
  • IT literate with a comprehensive understanding of Windows‑based programs.
  • Good working knowledge of IT accounting packages (Ad Depot System and Access Dimension are advantageous).
Qualifications
  • AAT qualified or working towards (desirable but not essential).
