Overview
We are recruiting a Fleet Administrator Apprentice to support the work undertaken by our Fleet Manager within the Fleet department. The department oversees the management of 200+ vehicles on a day-to-day basis. The ideal candidate will be motivated and enthusiastic, with a willingness to learn different aspects of Fleet Management.
Key Responsibilities
- Data input and document control.
- Dealing with payment of penalty charges and administering penalty charge payment.
- Scanning documents and maintaining the vehicle database.
- Producing reports from our telematics system.
- Filing and other administrative tasks as required.
- Skill in the use of multiple IT packages and systems relevant to the organisation to write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Choose appropriate IT solution to suit the business problem.
- Update and review databases, record information and produce data analysis where required.
- Produce accurate records and documents including emails, letters, files, payments, reports and proposals. Draft correspondence and write reports. Review others' work. Maintain records and files, handle confidential information in compliance with the organisation's procedures. Coach others in the processes required to complete these tasks.
- Exercise proactivity and good judgement, making effective decisions based on sound reasoning, dealing with challenges maturely and seeking advice when appropriate.
- Build and maintain positive relationships within the team and across the organisation. Demonstrate ability to influence, challenge appropriately, and become a role model, developing coaching skills as knowledge grows.
- Demonstrate good communication skills – face-to-face, telephone, writing and digital platforms – using the most appropriate channels. Use social media solutions appropriately. Represent the organisation or department when answering questions.
- Complete tasks to a high standard, continuously improve work and review processes autonomously. Share administrative best practice across the organisation and coach others to perform tasks correctly. Apply problem-solving skills to resolve challenging or complex complaints and be a key contact for issue resolution.
- Take responsibility for initiating and completing tasks, managing priorities and time to meet deadlines, managing colleague expectations, proposing improvements, managing resources, organising meetings and events, taking minutes, creating action logs and handling logistics such as travel and accommodation.
- Apply relevant project management principles and tools to scope, plan, monitor and report. Plan required resources to deliver projects. Undertake and lead projects as required.
Required Qualifications
- GCSEs in Maths & English (grade 4 or above). Share any other relevant qualifications and industry experience.
- Attention to detail, organisation skills, problem-solving skills, initiative, communication skills, IT skills.
Benefits & Working Conditions
£15,704 for the first year, then could increase depending on age. National Minimum Wage rate for apprentices. Training course: Business administrator (level 3). Hours: 40 hours per week, Monday to Friday. Day release at Middlesbrough College – one day per week. Shifts to be confirmed. Start date: Monday 26 January 2026. Duration: 1 year 6 months.
