Job summary

A leading facilities management provider in Manchester seeks a Contract Finance Administrator to join their team. Responsibilities include managing documentation, scheduling engineers, processing invoices, and creating reports. The ideal candidate will have proven administrative experience and an understanding of financial processes. This role offers a hybrid work model after training and requires a Monday to Friday commitment from 8am to 5pm.

Qualifications

  • Proven experience in a similar administrative role.
  • Experience within the FM industry is advantageous.
  • Experience with invoices/raising POs.

Responsibilities

  • Ensure QHSE documentation is maintained using CBRE systems.
  • Manage CAFM system including PPM records and reporting.
  • Schedule engineers across client sites.
  • Process timesheets and expenses weekly.
  • Create accurate Purchase Orders in a timely manner.
  • Run and review Profit & Loss reports monthly.

We are recruiting a Contract Finance Administrator to join our growing team in Manchester!

The Role
  • Ensure QHSE documentation is maintained and readily available using CBRE systems eLogbooks, Hazard Reports, training & competency records, PPE, toolbox talks.
  • Manage CAFM system as key user on site including PPM records, reactives and reporting.
  • Schedule engineers across our client sites.
  • Take calls from the client & send jobs to engineers.
  • Collate and process timesheets and expenses weekly.
  • Attend & participate in weekly/monthly Contract Review & finance meetings.
  • Create monthly customer report with contract manager.
  • Plan and arrange call outs, maintenance visits, delivery of materials, Extra Works within contracted SLAs.
  • Create/raise Extra Works jobs.
  • Create accurate Purchase Orders in a timely manner.
  • Regularly review and process supplier invoices.
  • Raise sales invoices (complete billing) in line with company deadlines at the correct margin.
  • Run and review Profit & Loss reports monthly and influence P&L result.
  • Run & review debt report weekly.
  • Review all open orders & follow up.
