Overview

Our client, a high-profile Hotelier with luxury properties in London and LA, requires a professional and experienced Executive Assistant to provide high-level support with day-to-day general needs and business calendars.

A calm and unflappable manner is crucial. Plans will change at the last minute, and thinking on your feet with a plan B is required regularly. You must have excellent communication and prioritisation skills and be able to maintain a high level of confidentiality.

With an A-list clientele and UHNW luxury lifestyle, the principal mixes in celebrity circles. Experience from a talent or entertainment background and an understanding and brand awareness of luxury hotels in London and LA would be advantageous.

This is not a 9am–5pm position; absolute flexibility and commitment are key. Candidates must be willing and able to commit completely to the role and work across different time zones when required.

You will be based at the head office in Marylebone, London, working alongside the Personal Assistant.

Hours: Full time with regular out-of-hours support

Location: Marylebone

Salary: £75k-90k dependent on experience

Start Date: ASAP

Responsibilities
  • Maintain the business diary and coordinate with management and heads of departments regarding work schedule.
  • Coordinate business meetings with outside entities and ensure efficient scheduling to optimise time.
  • Handle all correspondence and screen calls and enquiries.
  • Manage emails and ensure follow-ups are executed and deadlines are met.
  • Act as a liaison between management and other departments, ensuring coordination across hotel operations.
  • Accompany the client day-to-day when needed and be available to travel if required.
  • Prioritise conflicting needs.
  • Action itinerary plans, including travel and business-associated events.
  • Support the Global VP of Brand and Strategy when required.
Qualifications
  • Extensive experience as an EA in a fast-paced industry.
  • Exceptional written correspondence skills.
  • Experience with high-profile or VIPs is desirable but not necessary.
  • Proactive problem solver who can work independently and efficiently.
  • Excellent administrative and communication skills.
  • Highly organised with the ability to manage multiple tasks and projects.
  • Proactive, energetic, calm under pressure and resilient.
  • Excellent relationship builder and confidentiality.
  • High attention to detail.
