Overview

We are recruiting a proactive, organized, and mission‑driven Executive Assistant to work closely with the CEO/Founder of an exciting business. This critical role combines high‑level executive support, strategic planning, and operational leadership. The EA will ensure the smooth running of executive and administrative functions, enabling the business to operate efficiently and focus on scaling its impact.

Key Responsibilities
  • Executive Support: Manage the CEO's diary, email inbox, correspondence, and daily priorities. Proactively organize meetings, prepare agendas, and handle setting up action items and follow‑ups.
  • Travel Management: Coordinate complex domestic and international travel itineraries, accommodations, and logistics for the CEO and team as needed.
  • Administrative Operations: Oversee and continuously improve office administration, including HR coordination, office maintenance, and procurement of supplies/services.
  • Finance & Accounting: Liaise with accountants and finance providers. Manage invoices, payments, expense reports, and ensure timely and accurate record‑keeping.
  • HR Coordination: Support recruitment, onboarding, payroll/holiday tracking, and employee queries, maintaining confidentiality and compliance.
  • Board, Investor & Stakeholder Relations: Coordinate board meetings (scheduling, agenda preparation, minute‑taking), prepare and circulate investor updates, and act as a point of contact for shareholders and key stakeholders.
  • Project and Task Management: Track progress on key deliverables across the business, follow up with responsible parties, and unblock bottlenecks.
  • Confidentiality and Professional Discretion: Handle sensitive information with the highest integrity and professionalism.
Ideal Candidate

The ideal candidate will have proven experience as an Executive/Personal Assistant, or in a similar position with significant responsibility for executive support, operations or coordination (preferably in a startup, scale‑up, or technical environment). They will have outstanding organizational and multitasking skills, with the ability to anticipate needs and take initiative. They will be reliable, detail‑oriented, and importantly, mission‑driven and solutions‑focused, comfortable taking initiative and following through on commitments. This person must have strong interpersonal and communication skills, able to build effective working relationships with senior management, board, investors, and partners, and apply appropriate discretion and diplomacy skills. Depending on experience, this person may take on line management for other administrative staff. High proficiency with office and communication software (e.g., Microsoft Office, Google Workspace, project management tools) is critical, as is experience with basic accounting, HR administration, and office management. Business/operations qualifications are a plus but not required.
