Job description

HAIL is partnering with a leading global Private Equity firm to appoint a Float Executive Assistant to join their dynamic London office. This is an exciting opportunity for a proactive and high-performing EA who thrives in fast-paced, high-stakes environments and enjoys variety, visibility, and building relationships across the business.

They are looking for someone to provide seamless cover and high-level administrative support to senior executives across multiple teams. This role requires someone who can hit the ground running, quickly adapt to different working styles, and deliver exceptional support with minimal handover.

Key Responsibilities:

  • Provide full Executive Assistant support: complex diary management, global travel coordination, expenses, and meeting prep.
  • Support senior stakeholders across a range of teams – covering for absences, leave, or supporting during peak periods.
  • Collaborate closely with the wider EA team to ensure continuity and seamless handovers.
  • Prepare and format documents, agendas, meeting packs, and presentations.
  • Prioritise, and flag urgent matters – acting with discretion and sound judgement at all times.
  • Maintain a proactive, solutions-focused approach to changing priorities and evolving team needs.

Role requirements:

  • Proven EA experience in a fast-paced financial or professional services environment (Private Equity experience preferred but not essential).
  • Impeccable organisational skills and attention to detail.
  • Able to manage competing priorities across different executives with calmness and control.
  • A team player with a can-do attitude – happy to roll up sleeves and pitch in wherever needed.
  • High levels of discretion, integrity, and professionalism.
  • Adaptable, intuitive, and thrives in environments where no two days are the same.
