Job Title: Executive Assistant to C-Suite (CEO, CFO, CPO, and Chief Delivery Officer)

Location: Tottenham Court Road, London (Office-based 2-3 days a week)

With offices in the UK, Germany, the Netherlands, Belgium, and Romania, we are undergoing significant international expansion. Backed by private equity and following a recent merger we’re on a mission to grow from 350 to 1,000 employees within the next year.

Role Overview: We are seeking a dynamic and experienced Executive Assistant (EA) to support our C-Suite leadership team, including the CEO, CFO, CPO, and Chief Delivery Officer. This is a newly created role designed to assist with day-to-day operations in a fast-paced, high-energy environment. The ideal candidate will be tech-savvy, proactive, and able to handle multiple stakeholders while adapting to a rapidly changing, high-growth environment.

Key Responsibilities:

  • CEO Support: Manage the CEO's inbox, calendar, and travel arrangements, prioritizing key communications and ensuring alignment with the CEO’s fast-paced, idea-driven schedule. Filter through meeting requests and help manage a high volume of messages.
  • C-Suite Support: Assist the CFO, CPO, and Chief Delivery Officer with their administrative needs, including diary management, email correspondence, travel coordination, and meeting preparation.
  • Meeting & Event Management: Schedule, organize, and attend meetings, taking notes and following up on action items as needed.
  • Confidentiality & Discretion: Handle confidential matters with the utmost discretion and sensitivity, especially in high-pressure situations.
  • Cross-functional Support: Liaise with internal teams and external partners, maintaining strong relationships and ensuring smooth communication between various departments.
  • Task Management: Organize and prioritize tasks for the leadership team, ensuring timely follow-ups and action items are completed.
  • Proactive Problem Solving: Anticipate the needs of the executives and take initiative in managing day-to-day issues that may arise.
  • Adaptability: As part of a growing company, you'll be expected to adapt quickly, taking on new responsibilities as the business evolves.

Key Requirements:

  • Experience: Minimum of 1-2 years as an EA supporting multiple stakeholders, ideally in a fast-moving, tech-driven, or private equity-backed environment. Experience in a business undergoing change is a plus.
  • Tech-Savvy: Comfortable using Google Workspace tools (Google Meet, Google Drive, etc.) and able to quickly adapt to new technologies and systems.
  • Personality: Calm, controlled, and professional, with the ability to manage upwards and act as a point of guidance for the CEO. Someone who can filter information effectively, remind executives of decisions, and keep them on track.
  • Multitasking & Flexibility: Able to handle multiple tasks and shifting priorities in a fluid, ever-changing environment.
  • Communication Skills: Strong communication skills, both written and verbal, with the ability to engage effectively with executives, internal teams, and external stakeholders.
  • Proactive & Self-Starter: Ability to take initiative and work independently, while also being a collaborative team player.
  • Professional Appearance: Presentable and professional but not overly corporate. Comfortable being human and engaging with a high-energy team.
