Job summary

A Northern Ireland Housing Association is seeking an Executive Assistant to provide high-quality secretarial and administrative support to the Group Chief Executive and the Executive team. Candidates should have at least 2 years of business administration experience, proficiency in Microsoft Office, and experience in the social housing sector. This is a permanent role based in Belfast with a salary ranging from £28,780.97 to £32,002.51 per annum.

Qualifications

  • Minimum of 2 years’ experience as a PA/Executive Assistant to a Senior Management Team.
  • Experience in preparing board papers and minute taking.
  • Proficiency in Microsoft Office applications.

  • Maintain confidentiality at all times with effective judgement.
  • Organise travel arrangements for the Executive Directors.
  • Prepare reports, policies, presentations in line with deadlines.

Job description

This is an exciting role at the heart of our business to provide high quality, confidential secretarial and administrative support to the Group Chief Executive, our Executive team and the wider business. As Executive Assistant, you will be able to work independently and interact with staff (at all levels) in a fast-paced environment, using a high degree of initiative, judgement and discretion in carrying out your duties. You will be responsible for a wide variety of tasks, requiring initiative and flexibility in your approach to your workload.

Responsibilities
  • Ensure confidentiality is maintained at all times exercising effective judgement when dealing with matters and engagement with others throughout the Organisation.
  • Organise travel arrangements for the Executive Directors including bookings for accommodation ensuring any expenditure is receipted and provided to Finance Team, in line with Financial Regulations.
  • Ensure the Group Chief Executive and Executive Directors are fully prepared for meetings, research and prepare reports, policies, papers, presentations, and other communication in line with meeting cycles and specified deadlines.
Skills and Qualifications
  • A minimum of 2 years’ experience providing high level business administration as a PA/Executive Assistant to a Senior Management Team and/or Board of Directors and GCSEs in Maths and English, at Grade C or above, or equivalent.
  • At least two years’ experience of preparing board papers and minute taking, demonstrated by way of example on your application form.
  • Complete proficiency in the use of Microsoft Office applications such as MS Teams, Outlook, Word, Excel and Power Point.
  • Experience of Social Housing Sector within Northern Ireland.
  • Experience of preparing and circulating board administration papers through an electronic document management system.

Location: Belfast. Salary: £28,780.97 to £32,002.51 per annum. Contract: Permanent. Weekly hours: 37. Closing date: 15/10/2025.
