Elective Admissions Booking Clerk

Band 3, permanent, full‑time 37.5 hours per week at Great Western Hospital, Swindon.

Job Summary

Provide a patient‑focused, accurate, efficient elective admissions booking service in line with Trust values and the Elective Access, Booking and Choice of Date policy.

Responsibilities
  • Communicate with patients and relatives to agree surgery dates and convey information.
  • Meet weekly with Speciality Consultants to ensure cases are booked to appropriate lists.
  • Interpret Trust waiting list information and book speciality operating lists within target timescales.
  • Update speciality wait list information and give feedback to manager.
  • Maintain knowledge of RTT rules, Cancer waiting times and local variations.
  • Analyse theatre capacity and report shortfalls to manager.
  • Manage theatre cancellations.
Qualifications
  • GCSE 3 or above, including Maths and English.
  • NVQ 3 or equivalent in a relevant subject or equivalent experience in a booking or administration role.
  • Experience of significant administrative work in a customer‑focused environment.
  • Experience of managing waiting lists or scheduling.
  • Ability to analyse data and produce relevant documentation.
  • Proficiency with IT systems such as Excel and Word, including accurate typing.
Desirable
  • ECDL qualification or other formal IT training.
  • Health and Safety training.
  • Working in areas specialising in healthcare appointment making or elective booking dept.
  • Experience with Medway or other patient administration systems.
  • Organisational awareness of NHS.

  • Able to use initiative to deal with non‑routine queries.
  • Able to remain calm and helpful in an unpredictable environment.
  • Experience of resolving issues proactively.

Salary

£24,937 to £26,598 per annum.
