Overview

The Ward Clerk/Administration Assistant is responsible for participating as part of the Midwifery Team, providing general clerical assistance as determined by the Ward/Departmental Manager. This is a 37.5‑hour per week position working Monday to Friday.

Responsibilities
  • Participate as part of the Midwifery Team providing general clerical assistance as determined by the Ward/Departmental Manager.
  • Demonstrate effective verbal, written and electronic communications: receive and pass on clear messages to the midwifery team and seek assistance when required.
  • Act as the first point of contact for the midwifery team, dealing appropriately with all communications and tasks allocated, including sensitive issues, while maintaining confidentiality at all times.
  • Liaise with patients, relatives and visitors to provide directions and information as required, and obtain appropriate support from the Multidisciplinary Team.
  • Maintain and photocopy records, prepare forms and make appointments as requested, including organising transport arrangements and ensuring that the information given is accurate and up to date.
  • Prepare and check patient’s records, complete the relevant documentation as instructed, file reports and store them in the correct place.
  • Liaise with the Multidisciplinary Team to assist in chasing up procedures.
  • Request and obtain investigation reports, informing staff of the results.
  • Receive and process mail and specimens, deliver them to the correct place and carry out errands between departments.
  • Maintain stationery stock levels, including ordering, receiving and checking deliveries for accuracy and reporting discrepancies.
  • Deal with enquiries and direct them appropriately to the most suitable person or location.
  • Establish and maintain an effective filing system.
  • Maintain spreadsheets for accurate data collection.
  • Monitor and action mailboxes as appropriate.
