Overview
Corporate Travel Associate / Hybrid (2 days/week in Paddington office) / circa £17 per hour. As a Concierge Corporate Travel Associate, you’ll support global travel operations by crafting high-touch itineraries and managing travel logistics with precision. You’ll work with internal stakeholders, vendors, and clients to ensure journeys are smooth, compliant, and memorable. This is an initial 6‑month temporary contract with flexibility in working hours to support US time zones (2 PM – 10 PM UK).
Responsibilities

Travel Coordination & Itinerary Planning
- Arrange global travel: flights, hotels, ground transport.
- Curate personalised itineraries with dining, experiences, and activities.
- Communicate with travellers to gather preferences and requirements.
- Research and recommend travel options aligned with budget and policy.
- Ensure all bookings meet company and financial compliance standards.

Client & Customer Service
- Deliver exceptional service with warmth and professionalism.
- Provide detailed itineraries and support throughout the journey.
- Engage with clients via phone, email, video, chat, and in-person.
- Build strong relationships with stakeholders and vendors.
- Anticipate needs and exceed expectations with tailored service.

Problem Solving & Compliance
- Handle travel disruptions, rebookings, and emergencies efficiently.
- Stay informed on industry trends and new venue openings.
- Ensure compliance with pharmaceutical and corporate travel regulations.

Operational & Administrative Support
- Track travel costs and maintain accurate expense records.
- Manage preferred vendor and venue databases.
- Work independently with a proactive, resourceful mindset.
- Confidently interact with stakeholders at all levels.
Qualifications
- Required
- 5+ years in corporate travel or concierge services.
- Highly organised and self-motivated.
- Fluent in English (Portuguese a plus).
- Proficient in GDS platforms (Sabre, Amadeus, Travelport/Galileo).
- Strong communication and IT skills.
- Flexible and adaptable in a hybrid work environment.
- Preferred
- Experience in meetings & events (cross-training available).
- Knowledge of pharmaceutical travel compliance.
- Familiarity with travel booking tools (Concur preferred).
- Background in VIP or concierge services.
Additional Information
- May require travel for onsite event coordination.
