Overview

Are you an organised, customer-focused professional with a background in Compliance and Office Management looking for a rewarding position in a thriving professional services organisation?

We are a small, flexible well established financial services organisation seeking a highly organised and conscientious Compliance & Office Manager.

This combined role will ensure the smooth day-to-day running of the office while also managing client compliance responsibilities. The position is central to the firm’s operations – you will maintain regulatory standards, support the payroll function during busy periods, and oversee the efficiency of our systems, processes, and client service delivery.

This is an on-site role Monday – Thursday 8.30am – 4.30pm 32 hours per week offering £24,000.

Client Compliance
  • Provide excellent customer service as the first point of contact for compliance queries.
  • Manage Companies House submissions including:
    • Filing confirmation statements
    • New company incorporations
    • Company dissolutions
  • Carry out ID verification checks and ensure compliance with Know Your Client (KYC) and AML regulations.
  • Oversee new client onboarding:
    • Ensure all compliant documents are collected
    • Upload documents and details on in-house system
    • Send professional clearance requests
    • Review incoming paperwork
    • Prepare and issue terms of business
  • Submit client pension regulator declarations and monthly pension submissions.
  • Ensure HMRC compliance requirements are met, including settings and deadlines.
Office Management
  • Manage post system, including liaison with 3rd parties.
  • Oversee office supplies, including stationery, water machine refills, waste, and confidential waste contracts and office cleaning.
  • Maintain GDPR compliance across the firm.
  • Ensure internal processes and procedures are documented, maintained, and improved where necessary.
Systems & Reporting
  • Maintain and manage the in-house system, ensuring accuracy of data, deadlines, and compliance settings.
  • Generate and review reports to monitor client deadlines, supporting workload planning for the team.
  • Lead and record outcomes of weekly internal meetings to allocate tasks, track progress, and ensure deadlines are met.
Skills & Experience Required
  • Previous experience in a compliance and/or office management role (accountancy/financial services preferred).
  • Strong knowledge of Companies House, HMRC, and KYC/AML regulations.
  • Familiarity with payroll and pension processes (support level).
  • Excellent organisational and administrative skills, with the ability to manage multiple priorities.
  • Proficiency in practice management/accounting software (Capium desirable but not essential, Microsoft Office essential).
  • Clear communication skills, with a focus on client care and team support.
  • Knowledge of GDPR and data security principles.
