Overview

The Civil Administrative Support Worker provides comprehensive administrative and clerical support for the Bridgend District Nursing service and the wider integrated health and social care team on a 7 day rota, including weekends, bank holidays and evenings. The post uses Civica Scheduling and a range of IT systems to support District Nursing patient caseload management. The post holder will work independently, have excellent communication skills, signpost to appropriate services when necessary, and be knowledgeable in CTM University Health Board policies and procedures.

The role will involve dealing with face-to-face and telephone enquiries, inputting data onto role-specific spreadsheets, supporting staff in IT use, and creating and maintaining electronic patient records in line with the Health Board records management and retention policy. The post holder will respond to complex queries and maintain professional relationships within the team and with patients and relatives.

This administrative role is pivotal in supporting the efficient and safe running of District Nursing services in Bridgend and will cover a 7 day service including weekends, bank holidays and evenings.

The Administrative role will be central to supporting the efficient and safe running of the District Nursing Service in Bridgend. Person Specification
Qualifications/Knowledge
  • Knowledge of secretarial or administrative procedures and systems, including non-routine tasks such as answering queries, progress chasing, problem solving, acquired through experience and training to Vocational Level 3 or equivalent
  • Sound knowledge and understanding of confidentiality
  • Knowledge and understanding of Community Healthcare
Experience
  • Previous experience in an NHS administrative or secretarial post
  • Experience working in a busy office
  • Experience dealing with sensitive and complex situations appropriately
  • Experience using Health Board systems e.g. Health Roster, WCP, Oracle Procurement system, ESR, Malinko
Skills
  • Effective and sensitive communication at all levels using a variety of media
  • Full range of IT skills with good working knowledge of office applications, spreadsheets and database management
  • Welsh language speaking/listening skills at Level 3 or above
