Overview

Job Title: Business Support Admin Officer/ Executive Assistant

Reference: K&C 5275331

Pay rate: £17.73 per hour PAYE

Role length: Anticipated 3 months

DBS requirement: A Basic DBS is required for this role

The role

We are looking for an experienced and proactive Business Support Admin Officer to provide high level executive support to the Assistant Director of Neighbourhood Services. You will ensure effective communication and service work with residents, council members and officers from other departments and assist other areas of the department when required.

Key responsibilities
  • Manage the diary for the AD of Neighbourhood Services – coordinating meetings, travel, venues, and ensuring all are well organised and run smoothly
  • Handle meeting administration, including minute-taking, preparing agendas, circulating documents, and ensuring compliance with governance processes
  • Work closely with the Complaints Team to ensure all complaints and councillor enquiries related to the Directorate are addressed promptly and within deadlines
  • Liaise confidently on behalf of the Directorate with council officers, councillors, staff, residents, and external agencies
  • Support HR processes, including end-to-end recruitment – from business case approval through to interviews, appointments, and onboarding
  • Monitor and update Directorate service plans, preparing regular progress reports for the Housing Management Team
  • Help develop and maintain efficient administrative systems and processes across the Directorate
  • Keep internal office records up to date, including Health & Safety information, and share relevant updates with Directorate staff
  • Use office IT systems to manage file archiving and maintain records in line with data protection and confidentiality standards
  • Take ownership of learning about the Directorate’s wider function, including its links with other housing offices, council departments, board members, councillors, MPs, residents’ associations, and external partners
  • Carry out ad hoc duties as needed, including general secretarial tasks, photocopying, note-taking, message handling, report writing, and managing emails and phone calls

  • Experience in a social housing environment is preferable but not essential

  • Capable of managing a diverse workload and keeping up to date with multiple tasks concurrently
  • Ability to engage with internal and external stakeholders in a friendly and professional manner
