Job description
Overview

As a Business Administration Apprentice at Kendal College, you will provide administrative support to the Apprenticeships department while collaborating with other teams across the college. We’re looking for someone who’s proactive, organised, and eager to contribute new ideas to improve internal systems and enhance our external presence.

Responsibilities
  • Processing and updating personal and qualification data onto the College's Customer Relations Management tracking system.
  • Working with employers to understand and use the Apprenticeship recruitment process.
  • Managing apprenticeships jobs boards both online and in college, sending relevant information to marketing to be shown on screens around college.
  • Identify and collate suitable opportunities to update our social media platforms.
  • Supporting the facilitators to ensure that records are complete and audit compliant when entered onto the system.
  • Using effective methods to collect any outstanding information from employers and apprentices.
  • Working flexibly to assist with a range of tasks across the department as required, including general office duties such as photocopying.
  • Ensuring that all data is processed and recorded in an accurate and timely manner.
  • Making telephone calls, dealing with routine enquiries, supplying accurate information or taking messages from a range of stakeholders.
  • Undertaking staff development as appropriate to meet College targets.
  • Adapting to developing working practices, ensuring effective and efficient performance, and that procedures are adhered to and deadlines met.
  • Maintaining effective communication across the college and with external stakeholders, including email and telephone.
  • Attending and regularly taking and typing up notes at departmental meetings.
  • Developing a sound understanding of the College's support systems and, where applicable, assisting in data collection and input onto these systems and running off reports.
  • Managing both apprentice and employer of the month processes. Proficient in the use of multiple IT packages and systems relevant to the organisation to write letters or emails, create proposals, perform financial processes, and record and analyse data (examples include MS Office or equivalent packages). Able to choose the most appropriate IT solution to suit the business problem, update and review databases, record information and produce data analysis where required.
  • Producing accurate records and documents including emails, letters, files, payments, reports and proposals. Making recommendations for improvements and presenting solutions to management. Drafting correspondence, writing reports and reviewing others’ work. Maintaining records and files and handling confidential information in compliance with the organisation's procedures. Coaching others in the processes required to complete these tasks.
  • Showing proactivity and good judgement. Making effective decisions based on sound reasoning and dealing with challenges in a mature way. Seeking advice from more experienced team members when appropriate.
  • Building and maintaining positive relationships within the team and across the organisation. Demonstrating the ability to influence and challenge appropriately. Becoming a role model to peers and team members, developing coaching skills as area knowledge grows.
  • Demonstrating good communication skills across face-to-face, telephone, written and digital channels. Using the most appropriate channels to communicate effectively. Demonstrating agility and confidence in communications and carrying authority appropriately. Understanding and applying social media solutions appropriately.
  • Completing tasks to a high standard. Demonstrating the necessary level of expertise to complete tasks and applying themselves to continuously improve their work. Reviewing processes autonomously and making suggestions for improvements. Sharing administrative best-practice across the organisation and coaching others to perform tasks correctly. Applying problem-solving skills to resolve challenging or complex issues and being a key point of contact for addressing them.
  • Taking responsibility for initiating and completing tasks, managing priorities and time to meet deadlines. Positively managing the expectations of colleagues at all levels and setting a positive example. Making suggestions for improvements to working practices and understanding implications beyond the immediate environment. Managing resources such as equipment or facilities. Organising meetings and events, taking minutes and creating action logs as appropriate. Taking responsibility for logistics such as travel and accommodation.
